Reporting to the Commercial Accounts Manager (CAM) or designated leader, this role is responsible for the administrative management of customer accounts. The Account Administrator serves as the primary point of contact for administrative operations, ensuring the accuracy of financial, inventory, and sale day activities to provide a seamless experience for commercial and dealer partners.

Requirements

  • High School diploma or GED preferred
  • Must be 18 years of age and have a valid driver’s license that meets the requirements
  • Able to safely drive a variety of vehicle makes, models, and sizes
  • 1–3 years of administrative, accounting, or customer service experience required
  • Proficiency with Microsoft Office (Excel, Word) and the ability to learn internal inventory management and billing systems.
  • Basic understanding of invoicing and A/R processes.
  • Ability to read, write, speak, and understand English.

Nice To Haves

  • Automotive or auction industry experience is a plus.

Responsibilities

  • Manage daily account operations, including professional customer communication, invoicing, Accounts Receivable (A/R), and payment processing.
  • Oversee inventory monitoring and reporting (both pre- and post-sale), ensuring accurate system updates and coordinating with internal teams and vendors for dispatch logistics.
  • Ensure high accuracy in sale preparation and execution, including lineup management, fee posting, and reconditioning (recon) activities.
  • Perform detailed reconciliation of transactions to ensure accurate account records following auction activities.
  • Provide administrative support to the sales team and assist with resolving customer inquiries or account discrepancies.
  • Maintain accurate data entry for vehicle information, customer records, and transaction history in company systems.
  • Ensure compliance with all company policies, administrative standards, and state/federal laws.
  • Perform any other duties assigned by the designated manager.
