This role provides exceptional customer service to consumers, establishes a positive first impression of Northwestern Medicine, and exceeds consumer requests. The Team Lead interacts with various hospital departments and physicians offices to effectively schedule and direct patients through the NMHC systems. They perform medical necessity checks, facilitate pre-authorization of diagnostic exams, inform patients of financial account issues, and complete out-of-pocket estimations. Additionally, the Team Lead provides training and education, manages work schedules efficiently, and participates in Quality Assurance reviews. They utilize effective service recovery skills and adhere to departmental policies and procedures. Communication involves relaying information about physician referrals, insurance referrals, and consultations, collecting authorization numbers, and fostering a professional and constructive environment for communication. The role may involve attending intra/interdepartmental meetings and demonstrating teamwork by assisting coworkers. The Team Lead interacts with internal customers to provide excellent support service. Technology utilization includes multiple online order retrieval systems, insurance eligibility verification, and accurate documentation in Epic. The role is proactive in preventing patient visit issues, understanding registration data requirements, and monitoring quality metrics. They analyze account activity, identify problems, and initiate resolutions. Evaluating procedures for improvements, participating in quality improvement activities, and monitoring registration/scheduling processes are key. The Team Lead acts as a training resource for new staff and coworkers. Leadership responsibilities include assisting with staff training, development, and onboarding, ensuring compliance with NM policies, identifying and notifying management of potential problems, and coordinating advanced troubleshooting. They serve as the first line of assistance to staff, investigate and resolve patient/technical/workflow problems, and help coordinate staffing to ensure adequate coverage. The Team Lead works with management to adjust daily assignments, monitors queues for real-time adjustments, and ensures technology is working properly. They coordinate maintenance and repair activities, escalate issues, and communicate key issues and trends. Staff development needs are assessed and communicated, and the Team Lead develops, coordinates, and participates in staff education and training programs. They provide material and help develop agendas for staff meetings, maintain customer service objectives, and assume delegated responsibilities in the absence of the Operations Coordinator. Assisting with interviewing, hiring, training, progressive discipline, dismissals, performance appraisals, and employee relations are part of the role. The Team Lead also assists with the development and implementation of policies and procedures and ensures staff have access to necessary resources. They work with management on enforcing productivity and quality standards, conducting audits, and monitoring agent performance. Other duties as assigned.
