About The Position

We are seeking a qualified phone operator to join our Access Center team. Core responsibilities include scheduling patients for treatments by multiple providers and treatment areas, managing incoming and outgoing calls for patients, checking email daily for timely communication, resolving customer issues, delivering exceptional customer service, and utilizing the Well App to assist patients and respond to inquiries. The role also involves attaching incoming fax reports to patient charts, creating and faxing x-ray scripts, processing medication refill requests, generating work or school notes, and communicating effectively over the phone. The representative will accurately enter patient demographics and insurance information, practice active listening and professional communication, manage provider schedules, handle online appointment requests, and provide translation assistance for Spanish-speaking patients. Additionally, they will assist team members with scheduling questions and perform other duties as assigned by management.

Requirements

  • Candidate must have a High School Diploma
  • Excellent verbal and communication skills

  • Candidate should be familiar with EMR

Responsibilities

  • Schedule patients for treatments by multiple providers and treatment areas
  • Manage incoming and outgoing calls for patients

  • Utilize the Well App to assist patients as needed and respond to inquiries
  • Attach all incoming fax reports to patient charts

  • Process medication refill requests by forwarding them to the provider as patients call
  • Generate work or school notes based on doctor recommendations and send them to patients via email or fax
  • Ability to communicate effectively over the phone with patients
  • Accurately enters into the computer patient demographics, insurance information, and other pertinent patient information
  • Communicates using active listening, thinking/analysis, and appropriate professional response
  • Manage the maintenance of the providers’ schedules
  • Handle online appointment requests in a timely manner
  • Provide translation assistance for Spanish speaking patients
  • Assist team members with questions pertaining to scheduling
  • Other duties as assigned by management
