About The Position

Provides administrative, academic, and operational support to programs, faculty, and learners. This position is responsible for managing academic processes, coordinating educational activities, supporting accreditation requirements, and serving as a key resource for students, faculty, residents, and staff. This role ensures that programs operate efficiently and remain in full compliance with accrediting bodies and institutional requirements. Serves as a key contact and resource for faculty & learners and plays an essential role in managing the daily workflow and long-term academic objectives of the Office of Medical Education. The Academic Specialist is equivalent to a Student Medical Education Coordinator position that assist a Director of Student Medical Education (DSME) with the coordination of departmental services encompassing the student training programs. This includes administrative support, marketing, recruiting, orienting new trainees, and ensuring compliance with institutional policies and procedures. Under the direction of the Medical Education Supervisor at WakeMed/DSME, the Academic Specialist will develop and maintain all rotation schedules and calendars per specialty-specific curricula as well as monitor and analyze evaluation data. The incumbent will maintain all departmental personnel files of trainees.

Requirements

  • Bachelor's Degree Required
  • 3 Years Administrative Or 3 Years Healthcare Or 3 Years Education - Health Required

Responsibilities

  • Ensure compliance with the AOA Basic Documents.
  • Act as the initial point of contact for students.
  • Coordinate all medical student training programs at the base institution.
  • Organize high quality educational programs at the base institution.
  • Manage all applicable documents and correspondence related to student training.
  • Coordinate administrative support functions for monthly (student) rotation scheduling both internally and externally.
  • Ensure the compilation and distribution of the monthly student schedule, which includes on-call, rotation schedule, didactic, and conference calendars.
  • Ensure student compliance with required immunizations.
  • Ensure the completion of all evaluations and requirements of the student rotations.
  • Monitor and analyze evaluation submission on a monthly, quarterly, and annual basis.
  • File evaluations and log documents as required.
  • Prepare monthly, quarterly, and annual tracking reports, as requested.
  • Assist with documentation preparation and management for compliance with accrediting and regulatory agencies.
  • Coordinate student recruitment efforts of the department under the direction and supervision of the Medical Education Supervisor at WakeMed/DSME.
  • Maintain all student personnel files and ensure confidentiality of sensitive information.
