About The Position

The Academic Services Specialist is responsible for the full administrative coordination of one or more academic programs, such as Residency, Academic, Fellowship, Education or Credentialing; and other duties as assigned. This role specializes in managing the administrative activities of an academic program, ensuring optimum efficiency and compliance with policies and procedures. The specialist will maintain site assignments, arrange supervision, ensure evaluation processes are in place, and schedule program activities. They will also manage faculty, facility, and student assignments, provide policy interpretation and problem-solving assistance, and enhance the student/participant experience through extracurricular activities. Additionally, the role involves developing program communications, ensuring training materials are available, preparing reports, and analyzing evaluation results to recommend improvements.

Requirements

  • Bachelor’s degree in a related field of study is preferred.
  • Three to five years of administration of a program, preferably in a higher education or healthcare setting.
  • Accurate typing and data entry skills.
  • Excellent organization and communication (oral and written) skills.
  • Demonstrated proficiency of Microsoft Office Suite and software used by the department.
  • Must have experience supervising and working for an academic university.

Responsibilities

  • Manage the administrative activities of an academic program (e.g., Residency, Fellowship, Education, Credentialing).
  • Maintain clinical or internship site assignments and arrange supervision.
  • Ensure appropriate evaluation processes are in place for students/participants.
  • Schedule and oversee academic program activities in accordance with specifications and funding limitations.
  • Maintain the assignment of faculty, facilities, and students.
  • Ensure students/participants are progressing through training appropriately.
  • Provide policy interpretation, technical advice, and problem-solving assistance.
  • Arrange extracurricular seminars, study sessions, or workshops to enhance student/participant experience.
  • Develop, compile, and write program coursework communications and promotional literature.
  • Ensure materials for each training activity are available to students/participants and faculty.
  • Prepare periodic reports, financial statements, and records on academic program activities.
  • Utilize various evaluation methodologies, track results, analyze outcomes, and recommend actions.
  • Evaluate program effectiveness and recommend improvements.
