About The Position

The Academic Services Specialist is responsible for the full administrative coordination of one or more academic programs, such as Residency, Academic, Fellowship, Education or Credentialing; and other duties as assigned. This role specializes in managing the administrative activities of an academic program, ensuring optimum efficiency and compliance with policies and procedures. The specialist will arrange and maintain clinical or internship site assignments and supervision, ensure appropriate evaluation processes are in place, and schedule academic program activities in accordance with specifications and funding limitations. They will also manage faculty, facility, and student assignments, ensuring participants progress appropriately through training. The role involves providing policy interpretation, technical advice, and problem-solving assistance, as well as enhancing the student experience through arranging extracurricular activities and developing promotional materials. Additionally, the specialist will prepare periodic reports, analyze evaluation results, and recommend improvements to program effectiveness. Compliance with mandatory employee health, workers compensation, and HR processes is also required.

Requirements

  • Bachelor’s degree in a related field of study is preferred.
  • Three to five years of administration of a program, preferably in a higher education or healthcare setting.
  • Accurate typing and data entry skills.
  • Excellent organization and communication (oral and written) skills.
  • Demonstrated proficiency of Microsoft Office Suite and software used by the department.

Responsibilities

  • Scheduling and overseeing academic program activities according to specifications and funding.
  • Maintaining assignments of faculty, facilities, and students.
  • Ensuring students/participants progress through training to meet academic requirements.
  • Providing policy interpretation, technical advice, and problem-solving assistance.
  • Arranging extracurricular seminars, study sessions, or workshops to enhance student experience.
  • Developing and distributing program communications and promotional literature.
  • Ensuring training activity materials are available to students/participants and faculty.
  • Preparing periodic reports, financial statements, and records on academic program activities.
  • Utilizing evaluation methodologies, tracking results, and recommending actions.
  • Evaluating program effectiveness and recommending improvements.
  • Completing mandatory employee health, workers compensation, HR processes, and other training.
