About The Position

The Academic Scheduler is responsible for planning, developing, building, and maintaining academic course and section schedules to support program delivery and student progression. This role uses data analysis, forecasting, and collaboration with academic leadership, the Registrar’s Office, Admissions, and Advising to predict course demand, determine appropriate course sections, evaluate faculty capacity and workload, and ensure efficient faculty and resource allocation aligned with institutional goals. The Academic Scheduler works closely with Deans, Program Chairs, and operational staff to coordinate course offerings across academic terms. The position requires frequent interaction with multiple departments and plays a key role in enrollment planning, academic operations, faculty capacity planning, and student success. The role operates independently in managing the scheduling process while collaborating with academic leadership on program-specific requirements and data-informed scheduling decisions.

Requirements

  • Bachelor’s degree in higher education administration, business, data analytics, or a related field.
  • Minimum of 2–3 years of direct higher-education academic scheduling experience, including responsibility for personally developing, building, and maintaining academic course and section schedules.
  • Demonstrated experience using enrollment projections, historical enrollment trends, student progression, course sequencing, and program requirements to determine course and section needs.
  • Experience evaluating section capacity, faculty availability, and faculty workload to support appropriate staffing and scheduling decisions.
  • Demonstrated experience recommending or implementing section additions, reductions, consolidations, or cancellations based on enrollment and capacity data.
  • Experience working directly with Deans, Program Chairs, Registrar staff, Advising, and other academic operations teams to develop and maintain academic schedules.
  • Experience using a Student Information System and/or academic scheduling platform to create, maintain, and update course and section information.
  • Advanced proficiency in Microsoft Excel, including pivot tables, formulas, filtering, data analysis, and reporting.
  • Strong forecasting, analytical, problem-solving, and data interpretation skills.
  • Demonstrated ability to independently manage complex scheduling workflows, competing deadlines, and high-volume academic data with a high degree of accuracy.
  • Strong attention to detail and commitment to data integrity.
  • Strong written and verbal communication skills, including the ability to clearly explain scheduling recommendations to academic leadership.
  • Ability to manage multiple priorities, deadlines, and complex workflows independently.

Nice To Haves

  • Experience with Salesforce or a comparable CRM/data platform.
  • Experience with Banner, Colleague, Workday Student, Anthology, or a similar higher-education SIS.
  • Experience developing dashboards or reports related to enrollment, faculty capacity, section utilization, and scheduling efficiency.

Responsibilities

  • Develop, build, coordinate, and maintain academic course and section schedules for assigned programs and academic terms.
  • Analyze historical enrollment data, current enrollment, student progression, and program sequencing to forecast course demand and identify trends.
  • Predict staffing and section needs based on enrollment projections, program requirements, course sequencing, faculty availability, and instructional capacity.
  • Recommend course section additions, reductions, consolidations, or cancellations based on enrollment data, capacity, and institutional goals.
  • Collaborate with Deans and Program Chairs to ensure appropriate course sequencing, availability, section capacity, and faculty coverage.
  • Utilize Excel, Salesforce, and/or other data analytics tools to track enrollment patterns, generate reports, and support scheduling decisions.
  • Maintain accurate course and section data within Student Information Systems (SIS) and scheduling platforms.
  • Monitor enrollment, course fill rates, faculty capacity, and course-specific enrollment expectations and recommend timely section adjustments to support student access and appropriate faculty workload.
  • Recognize that course capacity may vary based on course type, modality, instructional intensity, practicum or capstone requirements, and other academic considerations, and incorporate established program expectations into scheduling recommendations.
  • Identify scheduling conflicts, capacity concerns, and potential staffing gaps and implement or recommend solutions proactively.
  • Support faculty workload and capacity planning in collaboration with Deans and Program Chairs and ensure alignment with established staffing models.
  • Assist with academic calendar planning and scheduling timelines.
  • Generate reports and dashboards related to enrollment trends, faculty capacity, scheduling efficiency, section utilization, and resource needs.
  • Communicate data-supported scheduling recommendations clearly to Deans, Program Chairs, Registrar staff, Advising, and other stakeholders.
  • Participate in continuous improvement efforts to enhance scheduling processes, systems, accuracy, and efficiency.
