About The Position

The Academic Records Administrative Associate is responsible for processing study abroad credit and for recommending and implementing improvements to credit processes and technology systems. This role will assist students while abroad and upon return with course equivalency, credit and grade questions. The associate will work closely with staff in Education Abroad, other education abroad offices on campus, the Office of the Registrar, Office of Undergraduate Admissions and Office of Graduate Admissions on credit-related matters. Requirements

  • High school graduation or GED.
  • Three years of experience with clerical functions.
  • Proficient in MS Word and Excel.
  • Proficiency in examining, organizing and reporting information in an accurate manner.
  • Attention to detail and accuracy.
  • Ability to understand and follow complex written and oral instructions.
  • Excellent interpersonal, communication, organizational and writing skills.
  • Proven problem-solving skills.
  • Demonstrated use of initiative and judgment.
  • Ability to work independently and as part of a team.
  • Experience providing support in a customer service environment with excellent customer service skills.
  • High level of professionalism.
  • Ability to prioritize responsibilities and manage multiple concurrent projects.
  • Equivalent combination of relevant education and experience may be substituted as appropriate.

Nice To Haves

  • Bachelor’s degree and three years of experience with clerical functions.
  • Experience working with The University of Texas at Austin policies and procedures.
  • Knowledge of UT Mainframe, Adobe Acrobat, DocuSign, Canvas, and UT Box.
  • Knowledge of a foreign language.
  • Experience studying, living or working overseas.

Responsibilities

  • Preparing and reviewing documents and associated forms for education abroad credit processing, in accordance with the policies and procedures outlined by Education Abroad, the Office of the Registrar, the Office of Undergraduate Admissions, and the Office of Graduate Admissions.
  • Auditing credit forms for accuracy.
  • Working with students, academic departments, and international partners to resolve complex credit cases under the direction of the Academic Records Coordinator.
  • Managing course equivalencies in the My Credit Abroad database.
  • Ensuring accuracy and integrity of course equivalencies.
  • Guiding course evaluators through the procedures for evaluating academic course credit earned on education abroad programs.
  • Serving as a resource for faculty and staff on course equivalencies and grade conversions.
  • Responding to requests for information from students, faculty and staff, including academic advisors.
  • Providing reports and summary data as needed/requested.
