About The Position

The Academic Program Specialist, Department of Psychology, is responsible for managing various administrative and financial tasks to support the academic programs. This role involves handling inquiries, maintaining budgets, coordinating student-related administrative processes, assisting with event planning and marketing material preparation, and serving as a liaison for administrative matters. The position may require occasional evening work and offers telework flexibility after an initial service period.

Requirements

  • Bachelor’s degree.
  • One year experience in administrative staff work.
  • General knowledge of and skill in the practical application of generally accepted office practices and procedures.
  • Ability to communicate effectively both orally and in writing.
  • Ability to proofread and edit written documents.
  • Skill in various computer software packages, such as word processing, spreadsheets, database and presentation programs, Internet, email, and calendaring software.
  • Ability to understand and follow oral and written instructions.
  • Ability to interact effectively with internal and external parties in a courteous and efficient manner.
  • Ability to plan, organize, prioritize, and execute multiple and continuing assignments with general instructions.
  • Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.

Responsibilities

  • Receives, screens, and responds to inquiries via phone, in person, or in writing, providing information on academic programs, admission requirements, policies, and content.
  • Maintains and monitors the budget, recording financial transactions, processing documents (invoices, vouchers, receipts, reimbursements, requisitions), and preparing financial statements and summaries.
  • Coordinates administrative processes for academic programs, including student recruitment, selection, registration, orientation, and progression.
  • Ensures timely completion of required forms and documentation, and compiles, updates, and maintains records for assigned administrative processes.
  • Assists in planning and coordinating activities for lectures, conferences, seminars, workshops, symposia, and special events.
  • Assists in designing, editing, and preparing drafts of marketing, public relations, and informational materials, and coordinates printing and publication.
  • Serves as a liaison between students, faculty, and department staff for payroll, benefits, reimbursements, and other administrative matters.
