About The Position

This position is responsible for data management for academic career tracking, including graduate audits, milestones, supervisory committees, transfer credits, and degree evaluation and certification. The specialist will maintain and document configurations within university systems (e.g., SIS, GIMS, Salesforce) related to graduate education and student records. They will collaborate with staff to update degree information and attributes after academic approval. The role also involves direct participation in degree evaluations and certification, identifying and resolving discrepancies, and assisting with related petitions. Additionally, the specialist will provide service to academic staff, graduate coordinators, and faculty by answering questions, resolving issues, and offering guidance on degree audits, student records, and degree evaluation. Training will be developed and provided on Graduate Council policies, processes, and systems to support graduate student success. The position requires regular collaboration with the Registrar’s Office, other administrative units, faculty, and staff to ensure policy consistency with the Graduate Catalog, Graduate Council, and University of Florida regulations. Other duties will be assigned by the Director, Assistant Director, and Deans.

Requirements

  • Bachelor's degree and two years of relevant experience; or an equivalent combination of education and experience.

  • A thorough understanding of the requirements, evaluation, and implementation of information systems.
  • Familiarity with current university platforms (i.e., Student Information Systems – Campus Solutions) and query building.
  • Ability to work well with end-users and system administrators.

Responsibilities

  • Works with Graduate School IT staff and UFIT staff to maintain, adapt and adopt systems to support academic career tracking including graduate audits, milestones, supervisory committees, transfer credits, and degree evaluation and certification.
  • Maintains and documents configuration within UF systems (e.g., SIS, GIMS, Salesforce) relating to graduate education, including student records and degree audits.
  • Collaborates with Curriculum and Programs staff to update degree information and attributes in appropriate systems after academic approval.
  • Participates directly in degree evaluations and degree certification, identifying and resolving any discrepancies related to graduate degree audits.
  • May assist with related petitions.
  • Answers questions, resolves issues, and offers guidance on questions related to degree audits, student records, and degree evaluation and certification.
  • Develops and provides training for academic staff, Graduate Coordinators and faculty as related to Graduate Council policies, processes and systems required to support graduate student success.
  • Works with the Registrar’s Office, other administrative units, faculty, and staff, on a regular basis to carry out policy consistent with the Graduate Catalog, Graduate Council, and University of Florida regulations.
  • As assigned by the Director, Assistant Director, and Deans.
