About The Position

The Utah Smart Energy Laboratory (U-Smart) at the University of Utah is seeking a proactive and organized individual to join our team dedicated to designing resilient and sustainable power systems. Job Description: The Academic Programs and Administrative Manager will play a crucial role in providing comprehensive support to the U-Smart Lab, overseeing administrative duties and managing educational programs in collaboration with academic faculty, industry partners, and government stakeholders. The position will coordinate educational initiatives to foster engagement between students, industry experts, and policymakers, as well as providing essential support for knowledge dissemination, interdisciplinary collaboration, and student engagement. Ideal candidates will excel in resource and time management and contribute to the success of our educational programs. This position will be scheduling meetings for stakeholder engagement, handle communication with internal and external partners, prepare documents, support meetings, ensure confidentiality, collaborate with the team, solve problems, and contribute to continuous improvement efforts. Requirements

Bachelor’s degree in a related area plus three years of experience in budget, grant and program management or equivalency (one year of education can be substituted for two years of related work experience) required.
Develops and implements program ideas into successful academic and research programs; demonstrated human relations and effective communication skills also required.
Applicants must demonstrate the potential ability to perform the essential functions of the job as outlined in the position description.

Responsibilities

Oversee and coordinate educational initiatives such as webinars, seminars, trainings, courses, and certificate programs.
Coordinate with academic faculty, industry partners, and government stakeholders to align programs with industry needs and policy frameworks.
Develop programmatic activities and specialized training sessions.
Prepare, organize, schedule, or facilitate workshops, trainings, or listening sessions.
Create and edit educational resources.
Develop and implement strategies for enrollment, retention, and engagement.
Collaborate with marketing to promote educational programs effectively.
Maintain and organize confidential data pertaining to the workshops and trainings, such as student records and student data.
Ensure compliance with program-specific regulations, grant requirements, and reporting.
Evaluate and analyze curriculum, program, or event resources.
Manage partnerships with relevant institutions and stakeholders on behalf of the lab.
Provide administrative support to the lab and assist with project administration.
Respond to inquiries and handle communication on behalf of the leadership team.
Perform other duties and special projects as assigned to support the overall mission and objectives of the laboratory.
