About The Position

Seattle University is seeking an Academic Program Coordinator for the Departments of Design and Film and Media. This 12-month, onsite position involves managing departmental operations, supporting faculty and students, and assisting with various administrative tasks to ensure the smooth functioning of the departments. Requirements

  • High School Diploma and four years of administrative office support experience, or an equivalent combination of education and experience.
  • Proficiency in MS Office: Word, Excel, PowerPoint, and Outlook.
  • Ability to communicate effectively in writing, by phone, or in person.
  • Excellent customer service skills, including the ability to create a warm and welcoming environment and work with diverse populations.
  • Ability to organize, prioritize, and perform multiple tasks successfully.

Nice To Haves

  • Bachelor’s degree with two years of administrative experience in a university or college setting.

Responsibilities

  • Manage operations, supplies, equipment, archives, and mail distribution for the departments.
  • Assist students with issues related to their studies.
  • Oversee departmental spending within established budgets in collaboration with Chairs.
  • Process all billing, invoicing, and payments using the Seattle University finance system.
  • Collect and archive faculty syllabi and student files.
  • Collaborate with Department Chairs, Program Directors, and faculty in departmental planning.
  • Attend faculty meetings and record/archive minutes.
  • Provide reception services for the departments, interacting with students, families, visitors, and guest artists.
  • Work closely with Operations, Productions, and other university offices to maintain classroom and studio spaces.
  • Manage email lists of current students and alumni for communication regarding news, events, internships, and employment opportunities.
  • Maintain confidentiality of student, staff, and university information.
  • Understand, interpret, and enforce University, College, and Department policies.
  • Support performance, production, and gallery events in coordination with other university offices.
  • Manage faculty contact lists for communication of news and events.
  • Assist faculty with needs such as classroom setup, IT issues, and supplies.
  • Assist Chairs and Program Directors with research regarding programs, grants, or other departmental goals.
  • Assist Chairs in coordinating annual program reviews and other assessment needs.
  • Work with other Department Coordinators to solve problems and support CCA Academic Affairs.
  • Provide support for departmental retention, fund-raising, and recruiting efforts, which may include weekend or after-hours events.
  • Attend training sessions to upgrade technical and job-related skills.
  • Perform other duties as assigned.
