About The Position

This is a temporary, full-time vacancy until December 24, 2026, requiring in-person work at the College. This position is deemed a critical replacement vacancy. Under the supervision of the Operations Manager, Faculty of Business and Hospitality, the incumbent performs duties related to academic planning, including scheduling, Standard Workload Formula (SWF), and curriculum support.

Requirements

  • Post-secondary 2-year diploma/degree or equivalent in Office Administration or a related discipline.
  • Minimum 3 years of related work experience in a busy office environment with a customer service focus.
  • Experience using software applications (word processing and spreadsheets), preferably in an educational setting.
  • Knowledge of the education sector, including scheduling, standard workload formula completion, and curriculum support.
  • Demonstrated strong organizational skills and attention to detail.
  • Demonstrated ability to work independently and as a team.
  • Demonstrated excellent verbal and written communication skills.
  • Successful candidates will be required to perform work within Ontario.
  • Must be available to work on campus as required.

Responsibilities

  • Gathering information to facilitate the development of all full-time faculty Standard Workload Formula (SWF) workload assignments for the School.
  • Distributing curriculum to Coordinators/Program Manager for verification and accuracy.
  • Initiating and preparing proposed workload assignments based on Associate Dean/Program Manager/Coordinator’s recommendations, analyzing current and future student enrollment trends, and necessary curriculum modifications.
  • Verifying that SWFs are within contractual limits.
  • Suggesting increasing/decreasing numbers of sections to the Associate Dean, Operations Manager, and Program Manager to evaluate budget implications.
  • Updating and adjusting workload assignments as required and approved by the Associate Dean.
  • Ensuring SWFs are issued, signed, and forwarded to Labor Relations within posted deadlines and ancillary reports are submitted.
  • Maintaining accurate records and supporting documentation.
  • Responding to questions and interpreting SWF data content for inquiries.
  • Updating SWFs as a result of revisions, WMG ruling(s), and providing clarification to WMG as required.
  • Entering accurate student numbers after official count dates to determine if overtime payments are required.
  • Gathering, analyzing, and inputting data into the College system for the scheduling of programs and classes for the School.
  • Collecting data for submission to the central Centre for Academic Excellence by analyzing teaching-hour projections.
  • Determining the number of course sections, room sizes, and types of rooms in consultation with the Associate Dean/Operations Manager/Program Manager.
  • Inputting collected data into the college system for timetable production by the Centre for Academic Excellence.
  • Checking and verifying inputted data.
  • Submitting exception forms for situations outside scheduling parameters.
  • Reviewing and verifying draft timetables to ensure accuracy.
  • Liaising with the Centre for Academic Excellence and Associate Dean to address scheduling errors.
  • Collecting data for the submission to the Centre for Academic Excellence to generate examination schedules.
  • Booking miscellaneous rooms for tests, guest speakers, student groups, and meetings.
  • Liaising with other academic Schools to ensure proper planning of courses.
  • Maintaining program curriculum documentation, including Degree Audits.
  • Preparing course section information for the Office of the Registrar.
  • Assisting the Associate Dean/Operations Manager/Program Manager in preparing budgets and forecasting teaching hour projections.
  • Providing back-up for adding course petitions within faculty contract restrictions.
  • Closely monitoring the number of seats in course sections and opening part-time seats in courses.
  • Performing special projects as assigned.
  • Identifying and resolving issues/problems/gaps with academic delivery.
  • Initiating and/or preparing payroll documentation for non-full-time faculty hires.
  • Following up to ensure hire contracts are returned and payroll documentation is complete.
  • Initiating overtime payment authorizations and changes of status for faculty.
  • Responding to inquiries regarding academic matters such as SWFs and timetables.
  • Providing occasional back-up to other Academic Planners within the Faculty.
  • Providing emergency occasional back-up to Student Information System (SIS) registration activities.
  • Participating in various activities such as graduation, awards ceremonies, and surveys.
  • Performing other related duties as assigned.
