About The Position

As a key member of the Academic Operations team, the Academic Operations Coordinator supports both undergraduate and graduate programs within the Mendoza College of Business. Reporting to the Assistant Director of Academic Operations, this role collaborates closely with the Office of the Registrar, academic advising teams, department leadership, and college administration to support strategic academic and operational goals. This position is ideal for a highly organized, detail-oriented professional who enjoys coordinating complex processes and collaborating across teams in a fast-paced academic environment. The Academic Operations Coordinator supports academic scheduling and operational processes for undergraduate and graduate business programs, including course scheduling, classroom assignments, registration, space management, academic calendaring, and program logistics. The role also manages academic records and critical data within university systems, ensuring accuracy, confidentiality, and compliance with university policies. This position regularly works within systems such as CourseLeaf, degree audits, Business Objects, EMS, Google Suite, Slate, Canvas, Panopto, and other university applications.

Requirements

  • Associates degree or up to 3 years of college or technical school
  • 3 to 4 years of experience, including at least one year of experience working in an administrative, office-oriented role, preferably with planning or scheduling responsibilities
  • Applicants must demonstrate through their cover letter and resume familiarity with word processing and communication skills
  • Ability to understand FERPA and implications for practices and procedures and commitment to maintaining confidentiality and sensitive information
  • Strong customer service, interpersonal, and relationship-building skills
  • Excellent written and verbal communication skills
  • Excellent organizational skills and attention to detail
  • Problem solving skills
  • Minimum technical proficiency includes familiarity with the Microsoft suite of applications, in particular word processing and Excel, the Google suite of applications, computer literacy

Responsibilities

  • Support academic scheduling processes for assigned programs, including course scheduling, classroom assignments, calendaring, room reservations, and registration coordination.
  • Collaborate with departments and leadership to support scheduling updates, space needs, and student enrollment outcomes.
  • Maintain course and academic data within university systems and provide operational support to academic leadership and programs.
  • Process change requests, support records-related activities, and maintain scheduling and operational documentation.
  • Coordinate operational processes and provide project support for academic programs, communications, and related activities.
  • Manage workflows and public-facing academic documentation to support efficient operations and continuity.
  • Support special projects and initiatives aligned with team, college, and university priorities while contributing to broader Academic Operations efforts as needed.
