About The Position

Pierce Mortuary Colleges offer comprehensive educational programs for individuals pursuing careers in funeral service, encompassing both theoretical instruction and hands-on practical training to prepare students for licensure examinations and subsequent apprenticeships or internships. Approved by the Board of Trustees, the college's mission is to advance education in funeral service, including the study, research, and teaching of embalming and the broader business and profession of funeral service. POSITION SUMMARY: The Academic Coordinator of Pierce Mortuary Colleges plays a crucial role in supporting the operations and coordination within the Academics department. The individual in this role will be responsible for various tasks aimed at ensuring smooth functioning of day-to-day activities, particularly focusing on student support and administrative tasks.

Requirements

  • Associate’s degree in relevant field with 3+ years of directly related experience.
  • Prior and proven experiences in undergraduate academic advising in a degree-granting institution.
  • Requirements are commensurate with education and experience.
  • Previous experience coordinating academic tasks.
  • Knowledge of Learning Management and Student Information Systems.
  • Language and Computer Skills.
  • Strong verbal and written communication skills and the ability to present complex information to varying levels of individuals throughout the organization.
  • Must have computer skills and dexterity required for data entry and retrieval of student information. Must be proficient with Windows-style applications, other types of project management software and keyboard.

Responsibilities

  • Serve as the primary point of contact and liaison between the office, students, and external constituents.
  • Provide warm and welcoming assistance to students and visitors, addressing inquiries and directing them as necessary.
  • Create a safe space for students and staff to express concerns and seek guidance.
  • Organize and facilitate meetings and events, managing schedules, attendance, and agendas.
  • Compose and prepare documentation and correspondence for the office.
  • Maintain departmental records and databases by gathering, entering, and updating data as needed.
  • Establish and manage files and records for efficient office operations.
  • Coordinate the management of supplies, including an inventory of Personal Protective Equipment (PPE) and books for both students and staff.
  • Order supplies for new students entering both Embalming I and Restorative Art I.
  • Maintain inventory of books and student supplies, ordering quarterly and distributing as necessary.
  • Ensure timely submission of all student documentation for practicum and clinical requirements.
  • Track student progress towards completion of requirements and communicate updates to instructors.
  • Provide regular follow-up with students regarding progress through various communication channels.
  • Assist with acceptance and maintenance of practicum requirements and clinical cases in Blackboard.
  • Assist in coordinating both on-campus and off-campus embalming clinical cases.
  • Distribute scholarship information to students monthly and manage in-house scholarships.
  • Facilitate the Scholarship Committee process, including gathering nominations, invoicing, and award notifications.
  • Coordinate final restorative art and embalming labs each quarter, including notifying the Academic Dean who have completed requirements for certification.
  • Assist with scheduling on-campus classes each quarter.
  • Answer inquiries from students, potential students, staff, and affiliate partners.
  • Serve as executive support to the Academic Dean.
  • Performs miscellaneous job-related duties as assigned.
