About The Position

Are you a detail-driven problem solver who thrives in fast-paced, high-impact operational environments? The Academic Classroom Scheduling Coordinator plays a central role in ensuring the efficient and strategic use of instructional space at San Diego State University. Supporting more than 30,000 students and 1,700 faculty members, this position coordinates the production and maintenance of the University’s published class schedules for Fall, Spring, and Summer terms. Working within the Office of the Registrar, this role requires independent judgment, strong analytical skills, and the ability to manage complex scheduling systems in real time. From aligning classroom assignments with enrollment demand to coordinating major campus events and final exams, the Coordinator ensures academic and event scheduling operations run accurately, efficiently, and in compliance with university policy.

Requirements

  • Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.
  • These entry qualifications would normally be obtained through a high school program, technical/ vocational program, or their equivalents combined with several years of related office work experience.
  • Experience coordinating complex scheduling operations (e.g., academic schedules, events, or multi-stakeholder environments)
  • Experience analyzing data and making real-time, data-informed decisions to solve operational issues
  • Experience working with enterprise systems (e.g., student information systems, scheduling software, or databases)
  • Experience managing multiple priorities and deadlines in a fast-paced, high-volume environment

  • Thorough knowledge of internal university policy, procedure, and infrastructure is preferred.
  • Thorough knowledge of best practices in academic and events scheduling is preferred.

Responsibilities

  • Academic Scheduling Operations: Plan, organize, and maintain the University’s Schedule of Classes; assign general assignment classrooms; align seat capacity with enrollment demand; and support real-time adjustments during active registration cycles.
  • Final Exam & Registration Coordination: Oversee final exam scheduling logistics, manage adjustments and group finals, and collaborate with campus partners to address enrollment shifts and scheduling conflicts.
  • Event & Facilities Scheduling: Coordinate scheduling of campus events, conferences, midterms, orientation programs, and large-scale activities across shared classrooms, auditoriums, and field spaces in accordance with university policies.
  • Data Management & System Integrity: Maintain accurate course catalog and section data in the student information system; audit scheduling entries; support CRM and Astra scheduling system updates; and ensure compliance with curriculum approvals.
  • Policy Implementation & Campus Collaboration: Apply and enforce classroom scheduling guidelines, interpret university policies, and maintain professional relationships with colleges, departments, and campus service units.
  • Reporting & Training Support: Generate classroom utilization and inventory reports; assist with data maintenance projects; and support training workshops for campus schedulers.
