About The Position

The Office of Family Medicine/Osteopathic Manipulative Medicine, Texas College of Osteopathic Medicine, at the UNT Health is seeking an Academic Business Coordinator to join the team. This role serves as a key strategic and administrative support and partner for the Chair. The coordinator operates as both an internal and external liaison for the department, responsible for ensuring seamless, transparent, and effective operations, clarity of information, and facilitates and monitors the administration of the department. The position manages operating unit functions, including financial reconciliation, tracking, and reporting, and assists with the preparation and management of the department budget. Additionally, it involves faculty workload database maintenance, data tracking, and analysis.

Requirements

  • Bachelor's degree and three (3) years of related experience; or any equivalent combination of education and experience.
  • Advanced MS Office skills.
  • Proven organizational skills and detail orientation.
  • Knowledge of accounting/budgeting procedures.
  • Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others, to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats.
  • Ability to conceptualize, plan and organize multiple programs and assignments effectively.
  • Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness.

Responsibilities

  • Executive support for the Chair of the department, including travel planning, travel expense submissions, and other travel support needs; purchasing, correspondence, and other executive needs.
  • Administrative Support for Committees.
  • Responsible for financial and operational functions including, but not limited to, purchasing, budget, travel, safety, information technology, and compliance.
  • Monthly reconciliation of all accounts in Axiom as well as checkbook(s).
  • Tracks/monitors CME, travel spending, and reviewing of unit financials, including checkbook, tracking of state funds, and financial reports through Axiom while monitoring available funds with transparency to the College Business Office.
  • Works in partnership with administrative team to ensure all procurement, purchasing, and travel guidelines and processes are implemented and followed within the unit.
  • Contract liaison; purchasing and purchasing reconciliations; official department time-keeper; department inventory transactions, technology needs, compliance needs, and any other related duties for the office.
  • Assist in administrative and financial activities for operating unit, including budget preparation, faculty workload coordination, management of all accounts, administration operations, and contract management.
  • Oversees administration operations by identifying needed resources and setting priorities; manages flow to ensure prudent management of resources.
  • Other duties as assigned, including backing up other executive assistants as needed to ensure Business Continuity Plans and expectations are met.
