About The Position

The Mines Center for Academic Success and Advising Team is hiring an Academic Advising Coordinator (AAC). AACs support the academic progression of Mines students through holistic and developmental academic advising. As a member of the Center for Academic Success and Advising (CASA) team, you will administer various academic support services and retention efforts in collaboration with academic faculty and administration. This role upholds established national standards for academic advising and academic support while adhering to the mission of Colorado School of Mines. You will actively collaborate with CASA colleagues, often backfilling, supporting, and cross-training with advising and support efforts. This is a full-time, 12-month administrative faculty exempt role based in Golden, Colorado, requiring in-person work on the Mines campus most days of the week. This posting may fill more than one position. AACs are guided by CASA’s vision statement: "We empower Mines students to realize their full potential from year one to graduation through comprehensive academic advising, intentional academic services and being recognized as a reliable campus resource." CASA is undergoing a structural redesign to enhance academic support, retention, degree progression, and advanced student advising. AACs will contribute to this evolution, with potential shifts in time allocations and office deliverables while maintaining key responsibilities and skills.

Requirements

  • Bachelors’ degree and masters’ degree from an accredited institution of higher education.
  • Professional experience with college students in an advising, mentoring, or leadership role.
  • Professional oral and writing communication skills.
  • Strong organizational and project management skills.
  • Strong public speaking skills.
  • Proficiency with computer software.
  • Currently authorized to work in the United States.
  • Successful completion of a background investigation.

Nice To Haves

  • Masters’ degree in a relevant field such as higher education administration, educational leadership, educational psychology, curriculum and development, etc.
  • Employment as a full-time academic advisor and/or academic support or student support specialist in a college or university setting.
  • Advising or teaching experience in an engineering/applied science setting.
  • Demonstrable commitment to promoting and enhancing diversity of perspective.
  • Experience supervising employed (paid) students.

Responsibilities

  • Provide academic advisement for undergraduate students (first-year, sophomore, and beyond) in major coursework.
  • Conduct communication and outreach (individual and group) with a pre-assigned set of approximately 500 students.
  • Assist students with transitions as they progress to their identified and declared major(s).
  • Provide accurate and timely assistance and guidance with course planning, registration, and class scheduling.
  • Review, approve, and assist with class scheduling, including the release of PINs to students.
  • Provide individualized assistance and guidance to all students, including those with complex transcripts (AP/IB credit, transfer students, non-traditional students).
  • Maintain consistent and thorough records of all student contact and advisement, including pre- and post-advising session notes.
  • Communicate with academic faculty needing assistance and support for advising purposes, including upper-division advising.
  • Provide assistance and support to student families and prospective students/families, maintaining FERPA compliance.
  • Offer personalized assistance based on student development theory and support for any student need, exploration, or situation, including collaboration and outreach to support offices.
  • Represent the University by serving on various university ad hoc committees and externally to students, the general public, and the local community.
  • Host "office hours" at various locations across campus, including academic departments, to advise students more effectively.
  • Assist as needed with all Student Life and CLASS programs, events, and specialty weekends.
  • Manage and oversee an academic support service function (e.g., early alert/retention, academic coaching, bounce back, peer advisors, tutoring, core review, programming, major exploration, hiring/training).
  • Provide budget oversight for respective academic support services.
  • Supervise student staff, including time tracking, hiring, and training.
  • Offer individualized and research-backed academic coaching assistance to students seeking to improve their academic performance.
  • Provide proactive academic coaching for assigned advisees and other students as caseload allows.
  • Respond to Student Outreach and Support (SOS) inquiries for advisees and offer academic support as needed.
