Subject: Thank you – Operations Manager interview – Jordan Lee

Hi Maya, Thank you for taking the time to meet with me about the Operations Manager role at Northwind Logistics. I especially enjoyed our conversation about the plan to move weekly reporting off spreadsheets this quarter. That's close to what I did in my last role, where I moved our team's weekly reporting from spreadsheets to a shared dashboard, and I'd love to bring that experience to your team. If there's anything else I can share, please let me know. I look forward to hearing from you. Best, Jordan Lee

Where to find your detail at each stage

Recruiter phone or video screen

In a recruiter screen, your detail usually comes from something the recruiter explained: how the team is set up, why the role is open, or what the first project would be. If you asked a question, their answer is often the best detail you have.

Hiring manager interview

The hiring manager talks about the work. Listen for a problem the team is working on now, a project with a deadline, or something they called a problem. Any of those gives you a reason to bring up your own experience.

Final round

By the final round the earlier conversations are behind you, so pick something new from this one: what success in the first few months looks like, a plan they had not mentioned before, or an answer to a question you still had after earlier rounds.

Weak vs stronger: turning the detail into a sentence

Weak vs stronger: turning the detail into a sentence

A thank-you email goes weak in one place: the detail. The interviewer reads “I enjoyed learning about the team” and cannot tell which candidate wrote it. Here is the difference in three pairs.

‍

Weak: I enjoyed learning more about the company and its culture.
Stronger: I especially enjoyed hearing how your team runs a short review after every release.
Why it works: It names something the interviewer said, so it could only follow this conversation.

‍

Weak: I believe I would be a great fit for the role.
Stronger: The onboarding backlog you described is close to what I worked on in my last role, where I cut our new-customer setup down to one call.
Why it works: It shows the fit with one piece of past work instead of asking the reader to take your word for it.

‍

Weak: I am excited to manage cross-functional projects, as the job posting describes.
Stronger: I am excited about the warehouse move you described and the planning it will take across three teams.
Why it works: The weak line repeats the job posting. The stronger one names something only the interview could tell you.

‍

This generator cannot know what you and the interviewer talked about, so it asks you for the detail instead of guessing it.

‍

Indeed's guide suggests 150 to 250 words. These drafts are shorter on purpose: with the example on this page, the warm and formal versions come to about 90 to 100 words and the short one to about 65. The email has one job, which is to carry the detail, and every extra sentence competes with it. If you have something to add, such as a point you forgot to make in the interview, add it as its own paragraph.

How to use the thank-you email generator

Step 1

Fill in your interview details

Add your name, the interviewer's name, the job title and the company, then choose the type of interview. If you do not have the interviewer's email address, choose to send it to the recruiter, and the email asks them to pass on your thanks.

Step 2

Add the one detail and read the draft aloud

Describe what you talked about in a few words, choose why it matters to you, and pick a tone. Then read the draft aloud. Change any line that does not sound like you, and check the spelling of every name and of the company.

Step 3

Send it and track the interview

Copy the subject and the email into a new message and send it. If the interview ended late in the evening or right before the weekend, Indeed says the next business morning is fine. Then save the job in Teal's free Job Tracker with the interviewer as a contact, so you know who to follow up with.

Frequently Asked Questions

What should the subject line of a thank-you email say?

Keep it plain and put your name in it, so the interviewer can find it later. “Thank you for the interview” works, and adding the job title and your name, as in “Thank you – Operations Manager interview – Jordan Lee”, makes it easier to spot in a busy inbox.

Should you send a thank-you email to each person after a panel interview?

Yes. Send each person their own email and change the detail in each one, so each of them can see you listened to what they said. Indeed and Robert Half both recommend separate notes, and Robert Half suggests the same fix this tool uses: mention something only the two of you talked about.

What if the interviewer does not reply to your thank-you email?

A thank-you email does not ask a question, so it does not need a reply. If they gave you a date for a decision, wait until that date has passed before you follow up. If they did not, a short email to the recruiter asking about the timeline is a reasonable next step.
