Interview Follow-Up Email Generator

If they gave you a date to hear back, wait until it has passed and send your email the next weekday. If they gave no date, a week after the interview is a fair time to check in. If that gets no reply, try once more a week later, then stop. Enter your dates below to get the day and the email.

Subject: Following up on the Operations Manager interview (Jordan Lee)

Hi Maya, I hope you're doing well. I interviewed for the Operations Manager role at Northwind Logistics recently, and you mentioned the team hoped to decide by the end of last week. I wanted to check in on where things stand. I'm still very interested in the role. If there's anything else I can share to help with the decision, please let me know. Thanks, Jordan Lee

If the send day falls on a weekend, it moves to Monday. Public holidays are not skipped, so if it lands on one, send it the next weekday.

The email is written in your browser as you type. This tool does not use AI and does not send anything for you.

Which follow-up email you need

They gave you a date to hear back

Wait until the date has passed, then write on the next weekday. Name the date they gave you: the email then reads as a reminder of their own plan, not impatience. Send it the day before and it reads as if you missed what they said.

You haven't heard back and had no date

Give it a week from the interview, then write. Silence this early usually means a busy team. Ask about the timeline, not whether you got the job: the timeline is the one question they can answer.

Your first follow-up got no reply

Wait a full week after your first email, then send one shorter note that refers back to it. That is the last one. If it gets no answer either, put the time into your other applications. More emails than that can come across as desperate rather than proactive, The Muse says.

One interview, three possible emails: an example timeline

One interview, three possible emails: an example timeline

Jordan interviews for an operations manager role on Tuesday, October 6. At the end, the recruiter says the team hopes to decide by Friday, October 16.

‍

The first follow-up goes out on Monday, October 19. The 16th is a Friday, so the email waits through the weekend. It names the interview date and the date the recruiter gave, and asks where things stand.

‍

If the recruiter had given no date, it would have gone out on Tuesday, October 13, a week after the interview. Indeed says to wait two weeks; The Muse says one. This generator goes with one week.

‍

No reply by Monday, October 26? Jordan sends the second and last one, in the same thread, asking for any update on the timeline. If that goes unanswered too, Jordan stops there. If the team decides in Jordan's favor, they will write.

‍

What to put in each one: “Just checking in!” makes the reader look up which role you mean. “I interviewed for the Operations Manager role on October 6, and you mentioned the team hoped to decide by October 16” lets them answer without searching.

How to use the follow-up email generator

Step 1

Enter your interview and where things stand

Add your name, the name of the person you are writing to, the job title, the company and the interview date. Then choose whether they gave you a date, gave none, or you already followed up once. Indeed suggests writing to the recruiter if you can.

Step 2

Check the day, then copy the email

The box at the top of your email says whether to send it today or wait, and until when. Read the draft and change any line that does not sound like you.

Step 3

Keep track of who owes you a reply

Once the email is sent, you are waiting again, often on several companies at once. In Teal's free Job Tracker, each job sits at its stage, with your contacts at that company and an email template for that stage, so one glance shows which applications are still waiting on a reply.
