About The Position

Gambit is a globally distributed startup with leadership and teams spanning Israel and the US. We are seeking a Workspace & Operations Specialist to manage our New York office. This is a hands-on operations role where you will be responsible for the day-to-day operations of the NY space and supporting our growing team of over 30 US employees, most of whom work remotely, as well as a growing in-office team in NY. You will also serve as the primary point of contact for remote employees, visiting colleagues, and external visitors such as customers and investors. The primary goal is to ensure our NY office is an excellent place to work for all individuals, whether they are based there, visiting for a week, or just stopping by.

Requirements

  • 3-5 years of experience in office management or operations, with a preference for startup or distributed-team experience.
  • Ability to collaborate effectively across different time zones (Israel/US).
  • A welcoming and professional demeanor with a passion for hosting guests and supporting colleagues.
  • Strong written and verbal communication skills.
  • Proficiency in Hibob (or similar HRIS), Google Workspace, Microsoft Office, and Slack.
  • Ability to work independently with minimal supervision in a fast-paced environment.
  • Discretion in handling confidential information.

Responsibilities

  • Manage the day-to-day operations of the NY office, including supplies, facilities, mail, and space planning.
  • Serve as the primary point of contact for employees, visitors, customers, and investors, acting as the welcoming face of the office.
  • Collaborate with HR and Marketing on organizing events, team offsites, and remote engagement programs.
  • Coordinate schedules and priorities across executives based in Israel and NY.
  • Manage the end-to-end process of equipment shipping and IT setup for all new hires.
  • Oversee vendor relationships and contracts, manage the office budget, and process invoices.
  • Provide executive support, including scheduling, travel booking, and expense report management.
  • Ensure workplace safety and health compliance.
  • Identify and implement process improvements to support a growing, distributed team.
