About The Position

RAND is currently seeking a Workplace Operations Specialist III for its Pittsburgh, PA location. This position provides operational support in a fast paced, dynamic environment and helps ensure an efficient, safe, and well functioning workplace. Under limited direction, the Specialist will manage day to day facilities operations, coordinate with vendors, and provide excellent customer service. This position is hands on and essential to maintaining high operational standards and ensuring RAND’s Pittsburgh office runs smoothly and effectively. This is an onsite position. As the Workplace Operations Specialist III, you will collaborate closely with building engineers, vendors, and staff to resolve maintenance issues, prepare workspaces, support events, and maintain a professional environment. Your role is critical in helping RAND provide a safe, productive, and welcoming workplace that supports our people and mission.

Requirements

  • Proficiency with Microsoft Word, Excel, PowerPoint, Outlook, and Teams.
  • Excellent written and verbal communication skills.
  • Strong organizational skills and attention to detail.
  • Proven ability to manage multiple tasks and meet deadlines.
  • Exceptional customer service skills and teamwork orientation.
  • Must be able to lift 50lbs.
  • Minimum: Associate’s degree required.
  • The ability to obtain and maintain a U.S. government security clearance is required.

Responsibilities

  • Monitor the JIRA workorder system daily, entering, updating, and closing work orders.
  • Conduct walkthroughs and inspections of office areas; coordinate with the landlord for maintenance and repair issues.
  • Prepare and reconfigure employee workspaces, including furniture moves, installation, and cleaning.
  • Restock common areas such as pantries and open stock office supplies.
  • Assist with setting up meeting and event spaces; assist with site logistics.
  • Escort vendors and contractors during onsite work.
  • Collect and maintain department metrics and documentation.
  • Coordinate delivery and movement of packages and equipment.
  • Assist with mailroom duties including the delivery of large items and packages
  • Collaborate with Workplace Operations colleagues and other departments to solve problems and support process improvements.
  • Provide outstanding customer service through daily interactions with RAND staff and visitors.
  • Support the operations of flexible workspace and visitor services to include monitoring workspace reservations through the online reservation system.
  • Work collaboratively with support staff across sites to develop, maintain and document processes.
  • Other duties as assigned.
