About The Position

At Hadrian, the workplace is a critical enabler of speed, focus, and execution. As the company grows rapidly across multiple locations, we need an experienced leader who can design, build, and scale the workplace services function that supports our teams. This role focuses on the environments where our people work every day, including offices, shared spaces, physical security, and non machine related workplace infrastructure at manufacturing sites. We are hiring a Workplace Operations Manager to establish and lead the workplace services function at Hadrian. This role is responsible for setting strategy and overseeing the programs and vendors that keep our workplaces running smoothly. This is a critical role for someone who can operate at the systems level, move fast, and create structure while the company is scaling aggressively.

Requirements

  • 5+ years in workplace services, facilities, hospitality, or operations, including day-to-day oversight of outsourced services.
  • Proven track record holding service providers (janitorial, F&B, reception, waste, or similar) accountable to scopes of work and SLAs.
  • Experience with service budgets, PO creation and reconciliation, and invoice review against contract pricing.
  • 2+ years leading teams and/or managing vendor performance.
  • Comfort in design/construction meetings and coordinating furniture, fixtures & equipment through installation; ability to read construction drawings a plus.
  • Proficiency with MS 365 (Excel) and a work-order/CMMS or ticketing platform.
  • Strong communication, organization, and the ability to juggle competing priorities.

Responsibilities

  • Own vendor relationships: Manage the day-to-day performance of janitorial, reception, food & beverage, pantry, waste management, and other outsourced service partners.
  • Hold partners to SLAs: Set clear scopes of work and service-level expectations, and enforce them through regular check-ins, site walkthroughs, and performance reviews.
  • Source and onboard vendors: Support RFPs, vendor selection, contracting, and onboarding as services scale across sites.
  • Be the escalation point: Serve as the first call when a service issue arises and drive it to fast resolution.
  • Keep the workplace running: Ensure the space is clean, stocked, staffed, and guest-ready every day so employees and visitors have a seamless experience.
  • Run the F&B and pantry programs: Oversee catering, pantry stocking, and food & beverage offerings, balancing employee experience against cost.
  • Own front-of-house: Ensure a professional, welcoming reception and visitor experience.
  • Manage waste & sustainability: Oversee waste, recycling, and compost programs and keep them compliant and efficient.
  • Manage budgets and invoices: Track service budgets, review and approve vendor invoices, and flag variances early.
  • Measure and improve: Build simple metrics on cost, quality, and satisfaction, and use them to continuously raise the bar.
  • Standardize and document: Create repeatable playbooks, SOPs, and service standards so quality holds consistent as the company grows.
  • Partner cross-functionally: Work with the Director of Workplace Services, People, EHS, and Security to align operations with business needs.
  • Represent Workplace Services in design and construction meetings: Sit in with architects, general contractors, subcontractors, and project managers to represent operational and end-user needs throughout fitout projects.
  • Own FF&E execution: Help drive furniture, fixtures & equipment selection, placement, and installation from planning through delivery and setup.
  • Coordinate on-site logistics: Manage delivery scheduling, staging, and vendor access so installations land on time and in the right sequence.
  • Track scope and punch lists: Keep FF&E registers, installation schedules, and punch lists current, and follow issues through to closeout.
  • Ensure day-one readiness: Confirm spaces are fully outfitted, functional, and move-in ready before handoff to employees.
  • Manage purchase orders: Create, track, and reconcile POs for vendor services and FF&E — ensuring accurate coding, timely approvals, and clean matching against invoices and receipts.
