Summary The Workplace Experience Specialist is responsible for ensuring the smooth and efficient operation of the office environment. This role includes front-line communication, facilities coordination and general office support to create a welcoming, well-organized, and well-maintained workplace. Maintains the highest levels of customer care while demonstrating a friendly and helpful attitude at all times.

Requirements

  • HS Diploma or equivalency required; higher education preferred
  • Minimum 2-3 years experience in customer service or customer facing, professional environment
  • Proficient in Word, Excel, Outlook, MS Teams with the ability to pick up new software quickly
  • MUST possess exceptional organizational skills with the ability to prioritize tasks and multi-task efficiently
  • Must be adaptable to a dynamic environment while possessing strong interpersonal skills
  • Excellent written, oral, and verbal customer service skills
  • Able to learn new skills quickly
  • Flexible and able to juggle multiple, and at times, conflicting priorities
  • Strong initiative required; ability to work independently with minimal direct supervision
  • Able to remain diplomatic in stressful situations; team oriented and has the capacity to build strong working relationships both within the team and with external stakeholders/customers
  • Maintains confidentiality while working with highly sensitive materials
  • Punctual, dependable, and dedicated to achieving operational excellence
  • Maintain a consistently professional approach, with a willingness to take ownership and responsibility
  • Able to walk, bend, kneel, stand, and/or sit for extended periods of time

Responsibilities

  • Serves as the first point of contact for phone calls, emails, and visitors at the site. Responds to correspondence and greets guests promptly and professionally.
  • Manages multiple Outlook mailboxes and life cycle of work tickets and service requests, ensuring prompt resolution.
  • Responsible for package pick-ups, deliveries, and all postal mail, ensuring proper routing to recipients.
  • Responsible for conference room set ups, tear downs, beverage sets and catering support.
  • Performs daily checks on kitchen and copy areas, and meeting spaces; replenishes inventory to par levels
  • Monitors inventory and ordering of office and hospitality supplies
  • Monitor and replenish paper supply and toner for printers
  • Engages onsite property manager for janitorial and facility needs
  • Develops relationships with onsite vendors, main point of contact for onsite contractors or vendors.
  • Manages onsite lockers
  • Maintains all logs and proper reporting
  • Safety lead for site executing safety protocols and ensures all safety equipment is in working order.
