Overview The Workforce & School Staffing Operations Director is a hands-on operator responsible for building and running the central command center for our clinical and substitute workforce across Legacy Traditional Schools. Your mission is to establish and refine the daily operational processes that ensure every school receives the precise staffing it needs, dramatically improving service reliability and efficiency. You will thrive on turning the ambiguous goal of optimizing our workforce into a concrete, flawlessly executed system, directly managing the complex logistics of staff allocation to maximize the use of our internal teams, reduce costs, and ensure our students' needs are always met. This role is for a natural problem-solver who excels at creating order and navigating a dynamic environment to help us change lives through education. This role will work from the Vertex Education office in Chandler, AZ.

Requirements

  • Bachelor's degree or equivalent practical experience.
  • 5+ years of experience in operations, logistics , workforce planning, or a related field .
  • Demonstrated experience designing and implementing operational processes to improve efficiency and service delivery.
  • Strong analytical skills with experience using data to track performance, identify trends, and inform decisions.
  • Proven ability to manage complex scheduling and resource allocation in a dynamic environment.
  • Excellent communication and interpersonal skills, with the ability to influence and collaborate with diverse stakeholders.
  • Track record of solving complex problems and making sound judgments under pressure.
  • Experience managing projects from conception through execution, ensuring deadlines and objectives are met.

Nice To Haves

  • Experience working in a K-12 school system, charter school network, or education services organization.
  • Familiarity with staffing for specialized or licensed professionals, such as in education, healthcare, or clinical services.
  • Experience with workforce management software, scheduling systems, or similar operational platforms.
  • Demonstrated ability to manage operational budgets and identify opportunities for cost savings.
  • Experience in change management, particularly in introducing new systems or processes to established teams.

Responsibilities

  • Centralized Workforce Dispatch & Operations Manage the daily allocation and scheduling of all clinical (e.g., School Psychologists, SLPs) and substitute staff across Legacy Traditional Schools.
  • Serve as the primary point of contact for campus leaders to field and resolve immediate staffing requests, absences, and scheduling conflicts.
  • Deploy internal staff strategically to cover all service needs, ensuring 100% compliance with student requirements and operational continuity.
  • Coordinate with external agencies for supplemental staffing only when internal capacity is exhausted, managing all associated logistics and approvals.
  • System & Process Implementation Design, document, and implement standardized operating procedures for requesting, assigning, and tracking all specialized service personnel.
  • Develop and maintain the central master schedule for all itinerant and shared staff to maximize service delivery efficiency and visibility.
  • Configure and manage pragmatic software and tools used for dispatch , time-tracking, and communication with the mobile workforce.
  • Create and refine workflows that enforce central consistency while accommodating the operational realities of individual school campuses.
  • Stakeholder Communication & Change Management Communicate daily staffing assignments, schedule changes, and service updates clearly and proactively to school principals and operations staff.
  • Train school-level administrators and staff on the new processes and systems for requesting and managing specialized personnel.
  • Act as the primary liaison between central operations, deployed staff, and campus leadership to address service quality concerns and mediate issues.
  • Build strong working relationships with school leaders to foster trust in the centralized model and ensure adherence to new protocols.
  • Performance Monitoring & Reporting Track and analyze key operational metrics including staff utilization rates, service fulfillment percentages, and contractor expenditures.
  • Prepare and present regular reports to leadership on workforce performance, cost savings achieved, and compliance status.
  • Conduct regular audits of service logs, schedules, and invoices to ensure data accuracy and identify opportunities for improvement.
  • Use operational data to forecast future staffing needs and provide recommendations regarding internal hiring versus external contracting.
