About The Position

The Workers’ Compensation Specialist I serves as the first point of contact for workplace injury reporting and is responsible for injury intake, incident documentation, and initial claim setup support. This role focuses on accurately capturing incident details, ensuring timely reporting, and maintaining complete and organized documentation to support the claims process. The Specialist I partners closely with the Workers’ Compensation Specialist II to ensure claims are properly documented and positioned for coordination and compliance tracking. This is an entry-level role designed to support high-volume intake, documentation accuracy, and adherence to established reporting procedures within the Workers’ Compensation program.

Requirements

  • High school diploma or equivalent
  • 0–2 years of administrative, customer service, or related experience
  • Strong attention to detail and data entry accuracy
  • Ability to manage high-volume tasks in a fast-paced environment
  • Basic computer proficiency (Microsoft Office, email systems)
  • Strong communication and organizational skills

Nice To Haves

  • Associate’s or Bachelor’s degree in Business, HR, Risk Management, or related field
  • Experience in workers’ compensation, insurance, HR, or claims support
  • Familiarity with claims management systems (e.g., Riskonnect, TempWorks)
  • Experience handling confidential or sensitive information

Responsibilities

  • Receive and manage incoming workplace injury reports through the Injury Reporting Line
  • Conduct injury intake calls with employees, branch staff, and clients to collect complete and accurate incident details
  • Ensure all required information is captured during intake to support claim reporting and documentation
  • Provide initial guidance to branches on injury reporting procedures and next steps
  • Accurately enter incident data into the Riskonnect claims management system in accordance with department procedures
  • Create and maintain initial claim records with complete and accurate information
  • Upload and organize incident-related documentation within the claim file
  • Ensure documentation is clearly labelled and properly stored for downstream processing
  • Prepare initial claim documentation, including incident reports and supporting materials, for submission to the Workers’ Compensation Specialist II
  • Verify that all required intake documentation is complete prior to handoff
  • Support timely claim reporting by ensuring documentation is ready for processing
  • Track outstanding documentation related to injury intake and ensure timely resolution
  • Maintain records of follow-up communication and documentation collection
  • Receive and review drug test collection documentation and specimen photos submitted by branches
  • Verify documentation completeness and request corrections when necessary
  • Ensure documentation is properly attached to the corresponding incident record
  • Monitor the Workers’ Compensation claims management 6gtemail distribution list for incoming incident reports and documentation
  • Route emails and documentation to appropriate team members for further processing
  • Respond to basic inquiries related to injury reporting and documentation requirements
  • This position requires participation in an on-call rotation. Employees must be available to respond to work-related calls, messages, or emergencies outside of regularly scheduled working hours as assigned. The employee is expected to maintain reliable communication access and be able to report to work or perform duties remotely within a reasonable response time when on call.

  • Adhere to internal procedures, reporting timelines, and documentation standards
  • Performs other duties as assigned to support departmental and organizational objectives
