About The Position

Under general direction, perform a full range of complex and responsible administrative and legal work utilizing legal terminology, procedures, and documents. Coordinate preparation of legal documents and correspondence. This role involves assisting with document management, calendar management, clerical tasks related to legal proceedings, and miscellaneous duties as assigned by management.

Requirements

  • Minimum 2+ years of experience as a Legal Secretary in a workers' compensation defense firm or lien assistant role or equivalent high-level administrative assistant required.
  • Excellent knowledge of Microsoft Outlook, Word, Adobe Acrobat, and Dropbox or other shared cloud storage.
  • Strong writing, proofreading, spelling, and grammar skills, as well as, typing ability (minimum 75 WPM).
  • Ability to interact effectively with the public, clients, and employees; maintain confidentiality and use discretion and tact; work independently in the absence of specific instruction.
  • Highly organized, detail-oriented, and work well under pressure, with the ability to juggle multiple projects simultaneously.
  • Must possess excellent verbal and written communication skills and have pride in work product.
  • This is a fast-paced position that requires critical thinking and problem-solving skills.
  • Must work collaboratively with attorneys and staff at all levels to achieve goals.

Nice To Haves

  • Knowledge of legal billing, EAMS, FileNet, and Case Management Software are a plus.

Responsibilities

  • Daily review of incoming mail and immediate online filing of bills and demands.
  • Pull documents from client systems for service of discovery and orders.
  • Assist in intake of PQME Record Review preparation referrals.
  • Calendar Hearing Representative for WCAB Appearances and maintain an accurate calendar log.
  • Contact defense attorneys for missing file documents prior to all lien conferences and trials.
  • Contact the judge’s secretaries to obtain information on upcoming appearances and to get us added to the OAR.
  • Obtain contact information for co-defendants and document information in the lien software system.
  • Service of all legal documents to lien claimants, defense attorneys, and Workers' Compensation Appeal Board locations.
  • Assist Lien Specialists and Hearing Representatives with clerical tasks.
  • Assist in completing Substitution of Attorney forms and following up with adjusters for signed copies.
  • Complete Panel QME Requests, track AA deadlines strikes, complete PQME/IME Record Review Schedule of Records, and send final packages to the PQME, AA, and/or client.
  • Help on miscellaneous tasks during the day from AMLS management.
