About The Position

The Work Preparator is responsible for proactively planning and preparing maintenance interventions to ensure technicians arrive on site fully resourced and ready to execute service work safely, efficiently, and in line with company standards. This role plays a key part in ensuring that all required parts, tooling, documentation, permits, and external resources are in place ahead of execution, while also supporting operational follow-up, warranty processes, and invoicing readiness. The Work Preparator acts as a central coordination point between service operations, technicians, planners, suppliers, and other stakeholders to help ensure timely and effective service delivery.

Requirements

  • Experience in service operations, maintenance planning, work preparation, or a related field
  • Good understanding of maintenance workflows, materials coordination, and service documentation
  • Strong knowledge of internal combustion engines and their maintenance requirements
  • Familiarity with ERP, service management, and planning systems such as myPlant and purchasing tools
  • Strong planning and organizational skills
  • Ability to manage multiple priorities in a fast-paced operational environment
  • Strong attention to detail and follow-through
  • Effective communication and coordination skills
  • Ability to identify risks and escalate issues in a timely manner
  • Good understanding of maintenance operations and service execution requirements
  • Strong problem-solving mindset
  • Ability to work cross-functionally with internal and external stakeholders

Nice To Haves

  • Experience supporting field service or maintenance execution environments preferred
  • Knowledge of warranty processes, tooling logistics, and service documentation is an advantage

Responsibilities

  • Proactively plan and prepare all maintenance interventions to ensure technicians arrive fully resourced and ready to execute service work.
  • Follow up on all outstanding myPlant activities, both planned and unplanned, to prevent overdue tasks.
  • Order parts, consumables, and specialist tooling in line with work scopes and required lead times.
  • Track parts availability, delivery dates, and lead times, and escalate delays that may impact schedules or execution.
  • Ensure job packs, RAMS, permits, and technical documentation are complete and available prior to work execution.
  • Coordinate tooling, lifting equipment, and other required resources to support planned work.
  • Raise purchase requisitions or purchase order requests for third-party services, rental equipment, and subcontractor support.
  • Manage RMAs, tooling returns, and specialist tool logistics.
  • Manage warranty cases, including evidence gathering, documentation, and submission to HQ.
  • Support warranty evidence collection and documentation for all relevant interventions.
  • Collaborate with the Service Area Manager to ensure myPlant debriefs are completed in accordance with company standards.
  • Ensure compliance with maintenance standards, OEM service intervals, and internal procedures during the preparation phase.
  • Track overdue activities, outstanding materials, and resource constraints, and drive timely resolution.
  • Escalate scheduling conflicts, operational risks, shortages, or safety concerns to the Service Area Manager and/or Operations Manager.
  • Support invoicing readiness by ensuring completed job information is accurate, complete, and submitted on time.
