M.C. Dean is seeking a Work Control Specialist to manage and administer their CMMS (InfraLink) system. This role is crucial for maintaining the operational efficiency of critical facilities by managing asset documentation, maintenance schedules, repair tracking, and resource allocation. The specialist will utilize data analysis to evaluate program performance, identify trends, and recommend process improvements. This position requires a high level of organization, technical aptitude, and strong communication skills to collaborate with various teams and clients.

Requirements

  • High School Diploma with 8+ years of experience
  • Ability to obtain and maintain Top-Secret and HSPD‑12 Clearances
  • Proficiency with Microsoft Word, PowerPoint, Outlook, and working knowledge of Excel.
  • Ability to learn and adapt to new software, platforms, and workflow tools.
  • Comfortable using Microsoft Teams, Google Drive, and multi‑platform digital environments.
  • Strong written and verbal communication skills.
  • Ability to multitask, organize priorities, and work independently.

Responsibilities

  • Administer and manage the CMMS (InfraLink) system, including documenting physical assets, planning and scheduling maintenance, and tracking repairs.
  • Coordinate with Shift Leads and operations team members to create weekly, monthly, and quarterly maintenance schedules.
  • Implement and track preventative maintenance schedules, monitoring progress and reporting on production accountability.
  • Track and report on metrics for corrective maintenance, using data analysis to identify trends and inefficiencies.
  • Utilize Excel, Tableau, PowerBI, and PowerPoint to analyze and report CMMS information.
  • Collaborate with Quality Control to identify and address potential issues, focusing on proactive and preventative maintenance.
  • Evaluate processes and recommend improvements to management for workflows, policy, and organizational structure.
  • Ensure timely and efficient transition of 'complex work orders' to the 'above standard', IDIQ program.
  • Review work orders pending material, coordinate with the procurement team, and ensure efficient processing.
  • Proactively identify key priority issues for the client and provide timely updates.
  • Support daily client meetings by providing status updates on work orders and priority issues.
  • Become proficient in InfraLink use and administration, with ongoing self-development expected.
  • Train technicians and Shift Leads on the InfraLink system.
  • Collect data from technicians, clients, and tenants regarding outages or incidents, document findings, and format after-action reports.
  • Relay InfraLink performance, process, or technical concerns to the QC Team and DPM.
  • Create, collect, and organize reports, uploading them to the client's Google Drive account, managing document versions and history.
  • Create meeting agendas, take meeting minutes, and distribute documentation.
  • Assist management with maintaining Staff Directory, Personnel Certificates/Licenses.
  • Assist with distribution and tracking of parking passes.
  • Assist with organizing and scheduling external staff training.
  • Perform various administrative duties, including drafting reports, creating templates, and managing out-of-order signs and forms.
  • Manage the technician uniform program, including procurement, tracking, ordering, and issuing.
  • Provide surge/back-up support to other positions as needed, including Facilities Helpdesk duties.
  • Answer customer calls and/or emails with professionalism and customer service.
  • Document caller information and issue specifics, enter issues into InfraLink, and communicate with team members for dispatch.
  • Schedule service appointments for technicians, including assisting with scheduling hard-to-access areas for PMs or Repairs.
