About The Position

Bayprint, a premier provider of wide format printing and signage solutions, is seeking a highly motivated and detail-oriented Wide Format and Sign Printing Customer Service Representative to join our esteemed team. The successful candidate will serve as a key liaison between our clients and production staff, ensuring expectations are met with precision and professional courtesy.

Requirements

  • 2+ years in customer service, print shop, sign shop, or related environment preferred
  • Strong attention to detail and organization skills
  • Comfortable handling multiple jobs at different stages simultaneously
  • Clear written and verbal communication
  • Basic understanding of print or signage materials is a plus (training provided)
  • Ability to learn estimating and shop management software
  • Proficiency with email, spreadsheets, and order entry systems
  • Problem-solving mindset and calm under deadline pressure

Nice To Haves

  • Experience in sign, wide-format, or print production environment
  • Familiarity with proofs, artwork files, and print specifications
  • Experience with quoting/estimating software or print MIS systems
  • Experience coordinating installations or field services

Responsibilities

  • Serve as primary point of contact for customer inquiries (phone, email, walk-in)
  • Gather complete job specifications and recommend appropriate materials and solutions
  • Prepare accurate quotes for wide-format and sign projects (banners, graphics, signs, wraps, displays, etc.)
  • Convert approved quotes into detailed job tickets and work orders
  • Coordinate with graphic design on layouts and revisions
  • Send proofs and obtain written customer approvals before production
  • Ensure deposits and required documents are received before release to production
  • Communicate job requirements clearly to production and installation teams
  • Track job status and proactively update customers on timelines
  • Coordinate site surveys and installation scheduling when needed
  • Process change orders and scope updates accurately
  • Support invoicing accuracy and payment collection per company policy
  • Maintain organized digital job files and CRM records
  • Deliver high-quality customer service and relationship follow-up
