About The Position

Responsible for the daily operations of the WIC office by directing activities of the clerical staff members, issuing accurate food benefits, and maintaining inventory records on a daily basis. This role involves training and supervising clerical staff, managing clinic flow, ordering and inventorying supplies, and ensuring accurate record-keeping and client services within the WIC program.

Requirements

  • Two years of WIC clerical experience.
  • Ability to train and supervise clerical staff.
  • Proficiency in managing clinic flow and scheduling.
  • Experience with ordering, receiving, and inventorying supplies.
  • Knowledge of accounting systems for returned items and reconciliation.
  • Ability to conduct client interviews for verification and information gathering.
  • Skills in performing anthropometric and laboratory measurements.
  • Proficiency in data entry and computer systems for participant certification.
  • Experience issuing food benefits and managing EBT cards.
  • Ability to enroll and educate new clients on program policies and benefits usage.
  • Strong organizational skills for filing and record maintenance.
  • Experience conducting nutrition education classes.
  • Experience conducting community outreach and group presentations.

  • Experience with XP Plotting computer software for graphing.

Responsibilities

  • Trains and supervises WIC clerical staff and oversees their daily job assignments.
  • Manages clinic flow by approving and/or scheduling walk-in participants.
  • Assists in the interview process of new WIC applicants.
  • Completes Performance Appraisals Evaluations on clerical employees and assists with disciplinary procedures.
  • Orders, receives, and inventories WIC clinic medical, office, and EBT supplies on a monthly basis.
  • Manages the accounting system for returned formula and assures reconciliation on a weekly basis.
  • Trains staff to issue benefits appropriately and accurately.
  • Oversees the Breastfeeding Peer Counselor for breast pump inventory and supply ordering, reconciling monthly.
  • Creates and maintains the WIC monthly appointment calendar.
  • Assists with monthly quality assurance activities, including chart review and laboratory tests.
  • Interviews WIC applicants for residency and income verification and obtains accurate dietary intake and medical history information.
  • Performs anthropometric measures (height and weight) and laboratory measurements (finger sticks) for WIC Program clients.
  • Calculates exact age in years and months, calculates BMI, and graphs height and weight on growth charts manually or using computer software.
  • Performs quality assurance and equipment checks according to established policy.
  • Accurately enters participant certification data into the computer.
  • Issues computer-generated food benefits to clients.
  • Ensures daily computer reports are performed to maintain security and accountability of Shopping List and EBT cards.
  • Enrolls and educates new clients on WIC program policies and the use of Food Benefits in grocery stores.
  • Answers telephone, greets clients, and schedules appointments.
  • Follows up on missed appointments on a daily basis.
  • Makes reminder telephone calls to clients for upcoming appointments.
  • Maintains office organization by filing and updating WIC documentation and records.
  • Issues returned formulas according to policy and maintains accurate inventory.
  • Conducts nutrition education classes according to State Agency guidelines and Nutrition Education Plan.
  • Conducts WIC outreach in the community, including group presentations.
  • May function as a WIC Certification Specialist.
