Requirements

  • Demonstrates a working knowledge of WIC policies and procedures; maintains knowledge of, and acts in accordance with, current NHC policies and procedures.

  • First floor PSR staff need to be certified navigators.
  • High School Diploma or GED.
  • A minimum of one year in an office setting, previous computer experience.

  • Specialized training in office/secretarial work preferred.

Responsibilities

  • Greet and register WIC participants in a prompt, pleasant, and helpful manner.
  • Assess client eligibility in accordance with WIC state guidelines.
  • Maintain client confidentiality and ensures compliance with HIPAA and WIC policy and procedures.
  • Greet patients in a prompt, pleasant, and helpful manner and provides any necessary instructions/directions.
  • Answer all WIC phone lines, responding to callers’ inquiries, directing calls, and taking messages.
  • Schedule appointments for WIC certifications, re-certifications, nutrition education.
  • Prescreen applicants as required.
  • Call WIC clients who failed to show for their appointment in order to reschedule the missed appointment.
  • Screen applicants for eligibility in the WIC program.
  • Verify applicant residency, income, identification, and Medicaid status.
  • Complete and review client registration information for participant’s electronic WIC record and set up EBT accounts.
  • Ensure certification documents and other records are accurate and complete prior to submission.
  • Maintain documentation in client’s electronic record according to WIC guidelines.
  • Issue required notification to ineligible participants.
  • Assist applicants with completion of WIC signature page, including explanation of the Eligibility for Public Benefits, Consent for Services and The Rights and Responsibility sections.
  • Assist the Nutrition department to promote WIC objectives and ensure optimum client flow.
  • Encourage WIC participant utilization of the nutrition education component.
  • Encourage and promote breastfeeding.
  • Perform height and weight measurements when necessary.
  • Issue farmers market checks where appropriate.
  • Update WIC booklet in compliance with service indicated on the booklet, i.e., nutrition counseling, recertification, and medical data update.
  • Provide referrals to other community services and agencies in accordance with agency referral policy.
  • Offer the opportunity to register to vote and provide assistance to applicants.
  • Perform downtime activities when clinic flow is slow: Maintain work area and lobby in neat and orderly manner.
  • Coordinate supply needs with Supervisor.
  • Meet or exceed productivity goals.
  • Complete reports/projects in an accurate and prompt manner.
  • Fully embrace the HCCI program and practice the principles on a daily basis with patients, staff, and guest utilizing the care giver pledge.
  • Check emails on a regular basis to remain current on any changes that may impact department.
  • Work in conjunction with other Client Services Representatives to promote a “team effort”.
  • Attend and participate in meetings and in-services as required.
  • Participate in professional development activities.
  • Serve on committees as requested.
  • Perform duties in accordance with NHC Standards of Conduct and Mission Statement.
  • Perform related work as required and other duties (similar physical requirements and OSHA risk level) as assigned.
