Wellness Experience Coordinator, Kohler Hospitality Work Mode: Onsite Location: Kohler, WI Opportunity Are you someone who actively engages in wellness and lifestyle such as yoga, cycle, fitness & spa? Do you want to bring your health and wellness expertise to a Five Star environment? If so, then the Wellness Experience Coordinator, Sports Core is the career for you! Specific responsibilities include: Provide guests personalized service through email/phone call. Pre-arrival through personalized one-on-one service to customize their journey & assist in itinerary creation. Onsite through well-being consultations, recommended itinerary, assessments, etc. while being located in The American Club - Carriage House lobby and/or Inn on Woodlake. Post-Visit through follow up with well-being guests within 30 days after visit to gain customer loyalty. Responsible for making reservations for future or in-house guests for all services including well-being, dining, spa, golf, outdoor activities, airline reservation, and transportation. Responsible for Wellness Immersion Retreats and VIP Wellness Guests: on-site guest point of contact, booking wellness services, travel arrangements, personalized amenity bags. Responsible for revenue management; upselling resort wide experiences when booking. Partner with internal accounting regarding payment management for services and any associated fees with external providers. Additional administrative duties including but not limited to: Ordering, paying invoices, answer phone calls and receive emails coming in to Wellness Teams (Wellness refers to Sports Core, YOTL, and Bold), including requests from Sales, Reservations, Members, Guests, and requests from Wellness Managers. Create shopping carts for blanket PO numbers, Check in items that were received, approve invoices, write PO and GL numbers on invoices. Review blanket PO to see which have expired for the month. Update wellness calendars and schedule meetings with applicable teams to execute projects. Submit expense reports in a timely manner as to not incur late fees. Assist with creating ACT’s with direction from Director of Fitness. Submit wellness commission payroll as needed. Manage stewardship and fundraising gift basket requests for wellness groups. All other duties as assigned. Information Responsibilities: Maintain a working knowledge of all resort properties and onsite facilities including hours of operation, as well as daily activities and area attractions. Also have a detailed knowledge of the history of Kohler and the assigned hotel. Maintain superior level of knowledge of well-being facilities including Sports Core, Yoga on the Lake, Bold Cycle, Awakening in Woodlake Market, River Wildlife, and Kohler Waters Spa. Provide brochures on the hotel and local attractions. Maintain working knowledge of in room exercise equipment and knowledge of well-being minibar options and amenities specific to Carriage House. Provide directions and maps, including walking trails, city map, or state maps. Also provide guests with weather or road conditions. Provide suggestions and recommendations for future wellness events or activities. Work with Sales Executive-Wellness, Director-Wellness, and Director-Kohler Waters Spa in the planning, organizing and executing of wellness forums and events. Participate in internal and external workshops. Maintain standard operating procedures for areas of responsibility. Message and Amenity Responsibilities: Inform room service of amenity deliveries and fill out the necessary information. Inform other shifts of daily activities through the use of the concierge logbook or notes. Inform supervisor of any problems or unusual circumstances. This is a Full-Time position working weekdays and weekends. Shifts will vary between 8:00am and 5:00pm

Requirements

  • Minimum of a high school diploma is required, Associates degree preferred.
  • 1-2 years of hospitality/lodging experience preferred. Motivational interviewing experience or training preferred.
  • Previous experience in wellness related field is required
  • Must be willing to work holidays, nights and weekends.
  • Demonstrated knowledge of local areas strongly preferred.
  • Demonstrated experience in the promotion of health and wellness consultation services preferred.
  • Proficient in Resort Suite and Mindbody
  • Applicants must be authorized to work in the US without requiring sponsorship now or in the future.
