About The Position

We accommodate Guests who are in town for work, play, and relaxation so whether they are going to a conference, a concert, or a delicious date night meal, we are committed to ensure that each Guest feels welcome, valued, and that their stay is a top priority to us. DoubleTree by Hilton Madison Downtown is a 164 room property with a state of the art fitness center and ample onsite parking. A complimentary shuttle is provided to Guests daily from 7:00 AM-10:00 PM and our on-property restaurant, Bistro525, is a delicious and convenient stop for breakfast, lunch, or dinner. This Front Office position is perfect for someone who enjoys working independently, staying organized, and delivering friendly, high-quality guest service. You’ll help ensure a smooth overnight experience for our guests while completing nightly audit and reporting tasks. No hotel experience? That's okay—we can teach you that! We're looking for someone with a positive attitude, a CARE-ing spirit, and a passion for helping others. If you enjoy working overnight, are comfortable with basic computer tasks, and take pride in providing great service, we'd love to meet you. Bring your enthusiasm and willingness to learn, and we'll help you build the rest! This role is a great fit for someone available to start working now and can remain employed through summer break. Available to stay on through the 2027–2028? Even better!

Requirements

  • Ability and willingness to learn and use the property management system.
  • Friendly and outgoing personality both in-person and on the phone.
  • Responsibly handle all forms of payment.
  • Dependable and enthusiastic work ethic.
  • Strong attention to detail, organization and follow-up abilities.
  • Ability to work overnight shifts.
  • Comfortable with basic computer tasks.

Nice To Haves

  • Hotel experience is not required, but willingness to learn is essential.
  • Can remain employed through summer break and potentially through the 2027-2028 period.

Responsibilities

  • Ensure the smooth arrival and departure of all guests.
  • Make reservations, check guests in and out of the hotel, assist with guest requests, and provide outstanding customer service.
  • Assist guests with special requests, directions, services, and any other inquiries.
  • Communicate in a pleasant tone and accommodating manner over the phone, via email, and in-person.
  • Compile and run daily reports using our property management system.
  • Conduct end of day procedures and managing nightly hotel operations.
  • Meet and exceed guest expectations by anticipating their needs, providing local recommendations, and ensuring 100% satisfaction.
  • Resolve guest issues in a pleasant and timely manner.
