We are seeking a gracious, thoughtful, and driven full-time Weddings & Events Coordinator to create a sense of luxury while working with clients for their special day. This is a multi-faceted position requiring excellent time management and prioritization skills.

Requirements

  • College Degree in Related Field or Event Planning Experience
  • Strong Computer Skills Required: Word, Excel, Canva, Outlook, Google Suite.
  • Optional Experience with: ACT!, Maestro, Silverware, and Square
  • 2+ Years Food, Event, and/or Hotel Experience
  • Must be available to work early mornings, nights, weekends, and holidays.
  • Ability to work weekends and evenings
  • Ability to stand/move continuously for the duration of the shift (eight + hours).
  • Regular heavy lifting required (40 pounds or more).

Responsibilities

  • Plan all details of an event and manage client requirements to ensure smooth group bookings and assignments, maintain orderly accounts, and meet financial goals.
  • Coordinate details related to food, beverage, set-up, audio-visual equipment, rooms, accounting, special needs, and on-site coordination to ensure guest satisfaction.
  • Respond to incoming telephone inquiries and walk-ins in a timely fashion.
  • Conduct site tours and generate proposals and/or pricing information.
  • Reply to email and phone correspondence daily to help close business.
  • Create and coordinate accurate and comprehensive Banquet Event Orders (BEOs) and resumes for staff distribution.
  • Co-host weekly BEO meetings and ensure dissemination of relevant data to department heads.
  • Be on property during all event times for clients and to supervise execution of BEOs, set-up, and clean-up.
  • Interact and communicate with Banquets, Kitchen, and Restaurant staff to ensure smooth servicing of each event.
  • Prepare cost estimates and collect payments for all group functions.
  • Consult with Directors to improve service, enhance guest experience, and increase profitability.
  • Work with Catering-Only groups in addition to weddings for sales, planning, and implementation.
  • Attend Bridal Fairs and Networking Events.
  • Perform administrative duties for the Sales & Event Office.
  • Plan and coordinate in-house events.
  • Complete all other tasks as assigned by manager.
