We provide assistance to low to moderate income families to help address their most critical needs. The agency has over 70 programs, including valuable educational, housing, and emergency services. Internship Description: The Weatherization Administrative Specialist Intern will support the daily administrative operations of the Weatherization program, including both single family and multifamily projects. This role provides hands on experience in program coordination, data management, and compliance within a community development and energy efficiency setting. The intern will assist in ensuring accurate documentation, timely processing of files, and effective communication across teams.

Requirements

  • Currently enrolled in or recently graduated from a program in Public Administration, Business, Construction Management, Environmental Studies, or a related field
  • Strong organizational and time management skills
  • Attention to detail and ability to manage multiple tasks
  • Basic proficiency in Microsoft Office (Excel, Word, Outlook)
  • Interest in community development, sustainability, energy efficiency or housing programs
  • Familiarity with data entry systems or case management tools
  • Ability to work in a fast-paced, team-oriented environment
  • High school diploma/general education degree (GED) OR a combination of education and experience that is similarly equivalent.
  • Pass Criminal Background check & Drug Screening
  • Ability to work a hybrid schedule
  • Strong verbal and written communication skills
  • Professionalism in appearance, tact, punctuality, and dependability
  • Good interpersonal and professional skills including but not limited to professional appearance, tact, punctuality, and dependability.

Responsibilities

  • Assist with organizing and maintaining client and project files for both single-family and multifamily Weatherization projects
  • Support data entry and updates in systems such as EmpowOR, SharePoint and internal tracking tools
  • Review work orders, invoices, and supporting documentation for completeness and compliance
  • Track job progress from intake through completion and closeout, including multifamily projects
  • Coordinate with internal teams (auditors, inspectors, construction accounting) to gather missing documentation
  • Assist with scheduling appointments, maintaining program calendars and email accounts.
  • Support preparation for monitoring, reporting, and audits (DOE, state, and local requirements)
  • Communicate with clients, property managers, internal staff and contractors as needed to obtain information or provide updates
  • Participate in contractor meetings to help track action items, timelines, and project updates
  • Assist with compiling documentation required for multifamily project approvals and closeouts
  • Perform general administrative tasks including scanning, filing, and document preparation
