About The Position

The Wealth Management Operations Specialist provides day-to-day operational and administrative support to Wealth Management branch offices. This role is responsible for ensuring accurate, timely, and compliant execution of account setup, system maintenance, reporting, and operational processes. The Specialist serves as a key resource to branch teams, custodians, and internal partners, helping maintain high service standards while adhering to OneDigital Investment Advisors and Broker/Dealer compliance requirements.

  • Bachelor's degree in Business Administration, Accounting, Finance, Economics, or a related field preferred
  • 2–5 years of relevant business experience, preferably within investment operations or process management
  • Experience with Schwab, Fidelity, and/or TD Ameritrade platforms preferred
  • Experience with Orion Advisor Technology or similar platforms (e.g., Tamarac, Black Diamond) preferred
  • Working knowledge of basic investment terms, account types, and operational workflows

Responsibilities

  • Complete setup of new client accounts within portfolio management and custodial systems
  • Maintain accurate and timely documentation within ticketing, reporting, and billing systems
  • Calculate and process client refunds as needed
  • Provide general administrative support, including document creation, spreadsheet maintenance, presentations, scanning, filing, and mail preparation
  • Assist with inbound phone coverage and general office support as needed
  • Support mass mailings and other operational initiatives
  • Serve as system administrator for custodial and portfolio management platforms
  • Provide technical support for Wealth Management-specific systems
  • Assist with daily, weekly, and monthly audits
  • Develop, maintain, and audit procedures related to Wealth Management systems and workflows
  • Act as a resource on RIA policies, procedures, and best practices
  • Partner with team members to evaluate, develop, and implement reporting enhancements and procedural improvements
  • Take the lead on ad hoc projects as assigned
  • Communicate regularly with custodians, software providers, and branch offices, including principals, advisors, and staff
  • Collaborate with the Sr. Director of Operations to support evaluation and training of internal teams and branch offices
  • Adhere to OneDigital Investment Advisors and Broker/Dealer compliance standards and Code of Conduct as outlined in compliance and operations manuals
