About The Position

The Warehouse Supervisor is a key position for Supply Services with essential functions offering opportunities to gain experience related to using modern receiving software systems, warehouse equipment and the logistics to assure the patients/residents we serve are supplied their needed supplies for daily living. This position is a working supervisor role, actively participating in daily warehouse activities while overseeing and guiding the team to ensure efficient operations. The Warehouse Supervisor performs advanced logistical inventory and warehouse work. Work involves coordinating warehouse operations and supplies, maintaining security of state property and warehouse stock inventory. Duties include monitoring stock levels for loss prevention and adequate supply to facilities and ensuring warehouse operations are in compliance with established procedures. Supervises and trains staff. Works under minimal supervision with considerable latitude for the use of initiative and independent judgment. Additional tasks include processing replenishments of stock, putting away goods, rotating stock, pulling orders from inventory stock bins and delivering goods to state facilities. Must actively participate and/or serve in a Continuity of Operations (COOP) activation. Supply Services warehouses operate in a safe yet quick-moving, effective, and efficient environment! This is a physically active position where creativity, strength and discipline are important factors to assist with the heavy physical work involved. While the focus of this position is leading staff and movement of supplies, this position will also be cross trained to learn new and exciting skills including using the newest up-to-date receiving software systems, handheld devices for inventory control and warehouse equipment. Requirements

  • Graduation from an accredited high school or GED.
  • Prior work experience using Microsoft Office Suite (Outlook, Word and Excel) or something similar.
  • Prior work experience supervising others in a warehouse type setting or something similar
  • Knowledge of warehousing methods and procedures, of inventory and stock control record keeping, of automated inventory-control systems, of reporting procedures, and of departmental policies and procedures.
  • Ability to train others and to supervise the work of others in the areas of shipping, receiving, issuing and inventory control.
  • Ability to review warehouse operations for compliance with established procedures and to transfer stock from one location to another.
  • Knowledge of applicable rules, regulations, policies, functions, and operations.
  • Skill in the use of computer and related equipment, including the use of Microsoft Office Suite or equivalent to include word processing, spreadsheet, database, or presentation software programs.
  • Skill in the use of a calculator.
  • Skill in the use of mechanical lifting devices used in warehouse operations.
  • Skill in communicating effectively both verbally and in writing.
  • Ability to use a handheld device for the purpose of managing warehouse stock and receiving goods.
  • Ability to prepare reports and maintain records.
  • Ability to coordinate with other staff, departments, officials, agencies, organizations, and the public.
  • Valid Class-C Texas driver’s license or ability to obtain it no later than 90 days after hire date, is preferred. Applicants with an out-of-state driver’s license must provide an original certified driving record from the state of driving licensure.
  • Maintains eligibility to operate state vehicles.
  • Complies with state and local traffic laws as evidenced by no citations.
  • Attends and passes required training including Defensive Driver Certification and Van Driver Training courses.
  • Forklift Driver Training - SAF0100, completion required within six (6) months of employment.

Responsibilities

  • Manages, trains, assigns work, and reviews staff in warehousing procedures. Ensures services and supplies are properly distributed and stocked at assigned State Hospitals and State Supported Living Centers. Creates reports to reflect productivity, devises strategic initiatives to increase safety, reduce loss, claims, staff turnover and ensure multiple facilities are operating at expected levels. Foresees potential issues and initiates mitigating actions to include assisting in reassignment of staff to a different location from time to time to support coverage. Approves travel and related expenses using the etravel system.
  • Manages and reviews inventory and stock control records, runs and reviews warehouse reports and maintains “First in, First Out (FIFO)” accountability for assigned warehouse. Manages replenishment requisitions and communicates with suppliers for availability of required stock items to maintain safe and effective operations in the state operated facilities. Trains staff in the use of MIMS to provide accurate and timely issuance of warehouse stock. Enters receipts, including numbered assets, into the CAPPS financial system. Trains staff on accurate and timely receipts and assures warehouse stock shipments are delivered on time. Regularly provides reports and meetings with executives to advise on issues relating to inventory, personnel and warehousing related topics.
  • Manages hiring, time schedules, leave approvals, terminations and retirements utilizing the CAPPS HR system and other tools. Participates in recruiting initiatives and activities. Provides performance feedback and evaluations on a timely basis. Counsels and administers Performance & Conduct management actions in coordination with HR, Legal and Management. Participates in Civil Rights and Workman’s Compensation filings and needed actions.
  • Creates training processes, procedures, and written instruction. Provides hands on training in all aspects of multiple facility sites to ensure appropriate material handling, inventory procedures, equipment safety, and reports are being adhered to in accordance with Supply SharePoint Procedures, Operating Instructions and other required policies.
