About The Position

Join the City of Medford’s Public Works team as a Warehouse Specialist/Fleet Parts Procurement and help keep essential operations moving. This role supports the parts, supplies, and inventory needs behind specialized emergency vehicles, heavy equipment, machinery repair, and critical field services such as storm, sewer, asphalt, traffic signals, streetlights, and signs. We are looking for a detail-oriented, resourceful professional who enjoys balancing procurement, inventory control, vendor coordination, shipping and receiving, and responsive customer service. Requirements

  • High school diploma or GED equivalent
  • Three (3) years of inventory, purchasing, parts procurement, mechanical repair, or warehouse experience.
  • Ability to obtain Forklift Operators certification within 60 days of hire.
  • Possess a valid driver's license by date of hire.
  • New employees establishing resident status in the State of Oregon must obtain an Oregon driver's license within 30 days (ORS 807.020 (1)).

Nice To Haves

  • Bachelor’s degree business management, business administration, public administration, or other specific area of study as deemed applicable may substitute for the two (2) years of experience
  • Associates degree in accounting or other specific area of study as deemed applicable may substitute for one (1) year of experience.

Responsibilities

  • Evaluates requisitions and determines needs amid most suitable method of procurement of each; procures materials, equipment and services from vendors/contractors at the lowest evaluated cost.
  • Oversees and participates in the day-to-day procurement for parts and supplies needed in communication systems, specialized emergency vehicles, heavy equipment, and special machinery repair.
  • Organizes and maintains warehouse inventory, including locating, grouping and labeling item and monitoring and reordering stock.
  • Pulls inventory for customers.
  • Prepares special inventory for special projects.
  • Participates in quarterly inventory counts and correction of discrepancies.
  • Processes and submits invoices for payment.
  • Resolves invoice discrepancies.
  • Monitors fuel usage weekly, orders fuel as needed and maintains records for DEQ inspection.
  • Issues, monitors and maintains hand tools and power tools.
  • Receives freight deliveries and verifies contents and condition; distributes shipments to appropriate departments or individuals.
  • Operates material handling equipment to load and unload trucks.
  • Prepares and ships packages.
  • Regularly drives a vehicle to procure, pick-up, receive and deliver shipments of supplies, parts, and materials from vendors and issues to appropriate individuals; maintains related inventory records.
  • Stores a variety of new, used, salvage and scrap materials.
  • Complete designated job tasks, special projects, and all other duties as assigned to meet team, department, and City goals while working cooperatively, efficiently, and productively in a team environment.
  • Actively demonstrate high levels of employee engagement, accountability, coachability, and responsibility for personal performance and results.
  • Demonstrate initiative to incorporate and implement learning principles from informal and formal training, as well as feedback from leaders and co-workers.
  • Develops specifications for informal bids, prepares purchase orders, evaluates bids, assists with contracts; expedites orders; schedules deliveries and corrects problems that arise with delivery.
  • Follows up on delayed orders and managing/maintaining purchase order system by carrying out assignments.
  • Meet with vendors to evaluate their products and obtain information on new products.
  • Maintains records with vendors, quote submittals and miscellaneous correspondence.
  • Serve as the liaison between the vendors and the City – resolves disputes, arranges returns and credits, negotiates terms and conditions (shipping, etc.).
  • Performs other duties as assigned to support the overall function of the department and organizational goals.
