About The Position

The Warehouse Materials Associate I is responsible for all aspects related to incoming freight that is delivered to the Carilion Warehouse. The associate is responsible for performing standard receiving and stocking tasks, such as unloading delivery trucks, sorting items by receiving priority, identifying and documenting damaged deliveries, rotating inventory, storing materials for easy access at primary pick locations, and performing quality assurance (QA) activities. The Warehouse Materials Associate I Provides exceptional customer service to requesters, end users, buyers, and other warehouse teams. Inspects and signs for deliveries, noting all shortages and damages to ensure accurate inventory levels and prevent poor patient outcomes and financial loss. Communicates consistently with the Inventory Team regarding shipment discrepancies and documents issues in the electronic customer service portal as needed. Works with warehouse team members to identify and prioritize items for receiving, including patient-specific, rush, and high-priority orders. Maintains a well-organized delivery record system to prevent loss of goods and document transfer of liability. Resolves order-related inquiries and requests efficiently through customer service portal software. Stocks items using the inventory management system and ensures proper rotation by date to prevent negative patient outcomes or financial loss. Notifies management of discrepancies. Creates and maintains backstock processes and restocks primary pick locations using first-in, first-out (FIFO) methodology to ensure products are tracked and accessible. Maintains high levels of customer service by performing quality assurance activities, including inspecting and maintaining cleanliness of inventory racks, bins, and labels. Escalates discrepancies, delivery inconsistencies, and quality issues to leadership and documents and communicates appropriately. Has no supervisory responsibilities but may assist with new employee orientation, training, and guidance for support staff. Participates in Materials Management staff meetings and communicates effectively with leadership, staff, and external vendors. May be exposed to confidential and proprietary information regarding pricing and contractual relationships. Works under general supervision and within established Carilion policies and procedures. Applies basic knowledge and skills related to materials management operations and assists with coordination of product standardization activities. Refers complex issues to the immediate supervisor as needed. Ensures compliance with AHA, Department of Health & Human Services, ALM, JCAHO, OSHA, and Carilion performance standards.

Requirements

  • High School Diploma or GED required.
  • 3 years of relevant experience in warehouse or materials management operations may be considered in lieu of HSD/GED.
  • None (explicitly stated as experience requirement)
  • Valid VA Driver’s License with positive driving record required.
  • Excellent organizational skills to include critical thinking, attention to detail interpersonal skills, and written/oral skills.
  • Proficient in the use of standard warehouse equipment including forklift, cherry pickers, and power jacks.
  • Customer service oriented.
  • Proficiency in basic computerization skills and demonstrated ability to utilize (or learn to utilize) inventory management systems/software, email communication system, and customer service portal.
