TP‑Link Systems is hiring a Warehouse Administrative Support Specialist to provide essential administrative and operational support for our two warehouse locations in Chino, CA. This role manages daily administrative workflows, including invoice tracking, ordering, and vendor set up coordination with our corporate admin team and accounting. The position requires strong prioritization and problem‑solving skills to support warehouse leadership and ensure smooth operations. Responsibilities also include coordinating events, meetings, and communication across both warehouses to maintain alignment and effective teamwork across all departments. As an Administrative Support Specialist, you are the go-to person for your team's business administrative inquiries and activities. You anticipate the needs of your managers and team members and help them by facilitating daily operational and administrative tasks, anticipating issues before they arise. You move quickly with the changing environment and are up to date with the latest TP Link products and services. You also strategically support your team's projects, events and initiatives. In addition to being organized, analytical and detail oriented, you possess the strong communication skills needed to interact with a variety of people, culture and job functions in an office and warehouse environment.

Requirements

  • Minimum of 3 or more years of experience working as an Administrative Support/Assistant.
  • Reliable, punctual with a proven track record of meeting deadlines and taking initiative to make confident, well-informed decisions.
  • Strong written and verbal communication skills with professionalism when interacting with department leaders, business partners and vendors.
  • Resourceful problem-solver with the ability to prioritize and manage multiple tasks efficiently in a multifaceted environment.
  • Proficient in Microsoft Office 365 specializing in Excel, PowerPoint, Outlook and TEAMS. (Workday experience is a plus).
  • Ability to lift and move up to 50 lbs. safely.
  • Valid driver’s license and ability to travel between locations, as needed.

Responsibilities

  • Offer administrative support across multiple departments, including operations, warehouse, logistics, accounting and others.
  • Assist with ordering supplies, tracking, and validating incoming deliveries.
  • Coordinate with our corporate Admin team with vendor set up; schedule services accordingly across two warehouse locations.
  • Coordinate, schedule, organize and communicate team events for two warehouses (i.e. Holiday dinners, team bonding event, celebrations).
  • Transport assets, supplies, and equipment between warehouse sites as needed.
  • Maintain an organized inventory of office and warehouse supplies; track, ensuring areas are well-stocked and orderly.
  • Help to open, track, and close facilities and IT Work Orders for two warehouses.
  • Maintain a well-organized log of invoices accordingly by entering data accurately and maintaining records.
