About The Position

The Warehouse Admin Specialist supports daily warehouse operations by coordinating inventory activities, assisting with order fulfillment, and maintaining accurate records. This role also provides administrative support to the site, serving as a point of contact for employees, visitors, and vendors. The Warehouse Admin Specialist ensures efficient warehouse workflows, organized facilities, and timely completion of both operational and administrative tasks.

Requirements

  • Eligibility for US Employment without sponsorship
  • Minimum of 18 years of age
  • High School Diploma or GED or equivalent combination of education and experience is required
  • A valid driver's license, subject to successful verification through a DMV check, is mandatory
  • Ability to travel to multiple work sites, work overtime, weekends, holidays, or off hours as needed
  • 1–3 years of experience in warehouse operations, logistics, or inventory management
  • Experience performing administrative or office coordination tasks in a fast-paced environment
  • Familiarity with order fulfillment processes such as receiving, picking, packing, and staging
  • Basic proficiency in inventory management systems or warehouse management software
  • Ability to safely use warehouse equipment such as pallet jacks and (if certified) forklifts
  • Ability to lift and move items typically up to 50-75 lbs.
  • Comfortable in a warehouse environment with variable temperatures
  • Ability to stand, walk, reach, and bend routinely in a warehouse setting
  • Ability to sit and perform computer-based tasks as part of administrative responsibilities
  • Flexibility to work outside standard hours as needed for incoming shipments vendor visits, or safety inspections
  • The ability to effectively communicate in English, including speaking, reading, writing, and comprehension, as necessary for effective job performance and workplace communication
  • Proficient use of MS Office applications including Outlook, Teams, Word, Excel, and PowerPoint; teleconferencing applications
  • Functional use of common office equipment, computers, and office software

Nice To Haves

  • Prior experience working with vendors, carriers, or facility service providers preferred
  • Proficiency in Spanish Language desirable

Responsibilities

  • Assist with receiving, unpacking, inspection, and staging of incoming shipments
  • Perform inventory management tasks; cycle counts, reconciling physical inventory with system records
  • Help pick, pack, and prepare outbound orders, ensuring accuracy and timely completion
  • Maintain warehouse cleanliness and organization: shelving, pallet management, general housekeeping
  • Support loading and unloading activities; coordinate with carriers or drivers when needed
  • Assist with light equipment operation such as pallet jacks or forklifts
  • Conduct regular safety checks of warehouse zones, identify hazards, and report to management
  • Support periodic facility inspections and assist with follow-up improvements
  • Serve as the primary point of contact for the site, greeting visitors, handling calls, and liaising with internal departments
  • Work in tandem with the Operations Administration team on ordering and restocking office supplies, warehouse consumables, and small equipment
  • Maintain and manage snacks, break room supplies, and employee amenities
  • Supports new-hire onboarding by coordinating orientation, collecting required paperwork, and ensuring all necessary materials and equipment are provided
  • Support facility administration by liaising with landlords, maintenance vendors, and service providers (e.g., cleaning, facilities, utilities)
  • Prepare routine administrative reports such as inventory status summaries, supply usage reports, and safety inspection logs
  • Serve as the point of contact and on-site facilitator for all internal company events, including coordinating space, materials, communications, and day-of support for employee engagement activities
  • Maintains vehicle/equipment pre-op/post-op to be prepared to perform required duties
  • Maintains a clean driving record as defined by the current fleet insurance underwriter
  • Adheres to safety protocols and guidelines outlined in the Race employee handbook and job description to promote a safe work environment
