About The Position

Under the direction of licensed nursing staff and a coordinator, this role provides general clerical and reception duties, requisitions supplies, equipment, and services from other departments, and assists in maintaining the general function of the Nursing Station. The Ward Secretary is responsible for answering call lights, forwarding requests, answering telephone calls promptly and professionally, and contacting physicians according to their preferences and established policies. This role also involves assembling, disassembling, and maintaining patient medical records, collaborating on supply orders, and demonstrating effective communication skills while maintaining patient confidentiality. Proficiency in the Electronic Medical Record (EMR) system is required, along with a commitment to continuous self-growth and competency maintenance. The position emphasizes Customer Focus, SERVICE EXCELLENCE, and Relationship Oriented Care (ROC) principles, utilizing scripting as outlined in Service Excellence standards and demonstrating personal behaviors in accordance with CREDO principles. Ensuring facility, safety, and regulatory outcomes, including National Patient Safety Goals and compliance with Restraint/Seclusion policies, is also a key function. The role requires completion of all mandatory training, education, and competencies, along with TB testing.

Requirements

  • High School Diploma or equivalent.
  • 1 year of relevant experience
  • Medical related experience such as: Doctor’s office receptionist, Medical Office Assistant, Lab Tech, Pharmacy Tech, EKG Tech.
  • Completion of a WS class/curriculum or equivalent, Previous WS experience.
  • 1-year medical related college education within the past 5 years in addition to the completion of a medical terminology course.

Responsibilities

  • Answers call lights and forwards requests to appropriate team members.
  • Answers all telephone calls within three (3) rings using appropriate scripting.
  • Uses physician calling preferences when contacting physicians 100% of the time.
  • Contacts physicians in a timely manner regarding consults per policy, according to physician’s order (stat vs. routine).
  • Assembles, disassembles, and maintains patient medical record per unit standard.
  • Collaborates with manager to order and maintain appropriate supplies and floor stock.
  • Demonstrates effective written and verbal inter and intra department communication, maintaining patient confidentiality.
  • Maintains competency in using the Electronic Medical Record (EMR).
  • Demonstrates a commitment to continued self-growth and maintenance of competencies.
  • Demonstrates Customer Focus, SERVICE EXCELLENCE and Relationship Oriented Care (ROC) principles.
  • Utilizes scripting as outlines in Service Excellence standards.
