About The Position

The Ward Clerk position involves managing administrative tasks on a nursing unit, ensuring efficient communication and accurate documentation. This role requires a high school education, one year of healthcare experience, and knowledge of medical terminology. The Ward Clerk is responsible for order entry, chart management, communication with various departments, and maintaining a satisfactory physical environment on the unit. They also handle receptionist duties, relaying messages, directing visitors, and coordinating patient information.

Requirements

  • One year hospital or other healthcare experience
  • Knowledge of medical terminology
  • CPR certification

Responsibilities

  • Accurately inputs orders into computer.
  • Sends copy of orders to pharmacy in a timely manner.
  • Maintains accurate census information.
  • Keeps old and current charts in order.
  • Assembles new charts and labels all forms.
  • Maintains Daily Forms: Charge cards, etc.
  • Readies paperwork/chart for patient transfer.
  • Prepares chart for medical records upon patient discharge or transfer.
  • Maintains log books as requested.
  • Sends forms to Physicians as required or requested.
  • Accurately flags charts with pertinent data (i.e., allergies, fluid restrictions, etc.).
  • Handles incoming/outgoing communications on the nursing unit professionally, concisely, and accurately.
  • Relays phone messages to appropriate persons.
  • Directs visitors to patients.
  • Communicates patient needs to appropriate persons.
  • Assumes responsibility for coordinating and maintaining a satisfactory physical environment on the unit.
  • Notifies Patient Access of patient discharges and transfers to new rooms.
  • Notifies Food & Nutritional Services of menu changes, admissions and discharges.
  • Prepares all charts for Physician Rounds as needed.
  • Receives lab values over the phone and reports to nurses as indicated.
  • Informs appropriate persons of stat and now orders.
  • Orders required requisition forms and chart forms.
  • Assists in inventory as requested.
  • Participates in orientation of new personnel.
  • Participates in unit/hospital PI/QI as assigned.
  • Completes incident/PERT reports as indicated in a timely manner.
  • Reports all patient family complaints to Department Director or House Supervisor in a timely fashion.
  • Supports Nursing Services by demonstrating flexibility with schedules and job duties.
