About The Position

The Prince William County Office of Elections is seeking a detail-oriented, technology-proficient professional with strong communication skills and a positive attitude to join their team as a Voter Registration Assistant. This role supports the accurate maintenance of voter records and assists in administering fair, secure, equitable, and transparent elections. Responsibilities include data entry, records processing, general office support, and providing assistance to voters in person, by telephone, and in writing. All employees of the Prince William County Director of Elections serve as sworn public election officials and must exercise sound judgment, maintain political neutrality, safeguard confidential information, and perform complex election-administration duties in accordance with federal, state, and local election laws. Employees may be cross-trained and temporarily assigned to voter registration, absentee voting, candidate services, election officer administration, logistics, or other operational areas as needed. This is an at-will position that serves at the pleasure of the Director of Elections. The Voter Registration Assistant performs progressively responsible administrative, clerical, records management, and customer service duties supporting voter registration and local, state, and federal elections in Prince William County. Work is performed independently under the general supervision of the Chief Deputy Registrar or designee and is completed in accordance with the requirements of the Electoral Board, the Director of Elections, and applicable election laws, regulations, policies, and procedures.

Requirements

  • 8th-grade education
  • Up to 12 months of related experience (customer service, administrative support, records management, data entry, document processing, general office work, or other duties requiring accuracy and frequent public interaction)
  • Must be a resident and registered voter in the Commonwealth of Virginia, or eligible to meet this requirement before employment.
  • Must possess a valid driver’s license.
  • Must successfully complete a DMV records check.
  • Must remain politically neutral while performing official duties.
  • Must provide consistent and impartial service to voters, candidates, political parties, and members of the public.
  • Must protect confidential and sensitive information.
  • Must be able to occasionally lift, carry, load, and move election supplies and equipment weighing up to 40 pounds, with or without reasonable accommodation.
  • Must demonstrate sustained attention to detail, accurate high-volume data entry, effective prioritization, and the ability to meet statutory deadlines with minimal supervision.
  • Applicants must possess a valid driver’s license, successfully complete a DMV records check, and be registered—or eligible to become registered—to vote in the Commonwealth of Virginia.
  • The selected candidate must successfully complete the required election-administration training and maintain knowledge of changing laws, procedures, systems, and deadlines.

Nice To Haves

  • Two to three years of experience or documented training in data entry, word processing, spreadsheets, or other basic computer applications.

  • Previous experience serving as an election officer or working in election administration.
  • Flexibility to accommodate the seasonal and deadline-driven nature of election operations.

Responsibilities

  • Register qualified citizens to vote and process voter registration applications and updates.
  • Review and maintain voter records for accuracy, completeness, eligibility, and compliance.
  • Provide professional assistance to voters by telephone, email, mail, and in person.
  • Perform accurate data entry, word processing, spreadsheet preparation, scanning, filing, and general office duties.
  • Safeguard confidential voter records and other sensitive information.
  • Assist with in-person early voting and mail-in voting.
  • Operate computers, copiers, scanners, fax machines, multiline telephones, and other standard office equipment.
  • Interpret and explain election-related policies, procedures, deadlines, and requirements.
  • Assist with candidate filings, campaign reports, and related records.
  • Prepare, inventory, organize, and deploy Election Day supplies and materials.
  • Support election preparation, Election Day operations, canvass activities, and other departmental needs.
