About The Position

The Volunteer Programs Representative provides administrative and logistical support to the Volunteer Services department. This part-time entry-level role focuses on the execution of the volunteer lifecycle—assisting with application processing, maintaining database records, and providing on-site support for orientations and special events.

Requirements

  • High School Diploma required
  • Experience supervising adults and/or children in a group atmosphere.
  • Software skills – Microsoft Office (Word, Excel and Publisher) and volunteer tracking software.
  • Excellent oral and written communication skills as well as analytical and problem-solving skills are essential.
  • Must be able to follow oral and written instructions.
  • Able to work flexible hours, including weekends and evenings as necessary to meet deadlines and department goals.
  • Must have a valid Texas driver’s license.
  • Successful candidates must complete pre-employment drug screening and background check

Responsibilities

  • Works positively and cooperatively with a diverse group of volunteers and all Zoo departments to support the mission of the Dallas Zoo.
  • Performs the initial intake of volunteer and intern applications, ensuring all required fields are completed before passing them to the Volunteer Coordinators.
  • Monitors the status of background checks and TB test results, flagging pending items for the coordinator’s review.
  • Completes routine data entry into the volunteer database, such as logging service hours, updating contact information, and archiving inactive files.
  • Serves as the first point of contact for the department by answering general phone calls and monitoring the volunteer email inbox for basic FAQ responses.
  • Photocopies, assembles, and organizes training manuals, orientation folders, and recruitment packets.
  • Maintains the inventory of volunteer uniforms and office supplies.
  • Physically prepares spaces for orientations, events, and other department meetings (arranging chairs, setting up AV, and cleaning up post-event).
  • Prepares and transports supplies to support programs and daily activities.
  • Assists with check-in and monitoring of special event volunteers at evening events such as Zoo Lights, Zoo to Do, Illuminature, and Safari Nights.
  • Supports the Volunteer Coordinators during internship sessions by setting up lunch programs and coordinating the calendar for professional development speakers.
  • Assists on-site with "day-of" needs for special projects, acting as a runner or additional set of hands for the volunteer team.
  • Drafts initial sign-up sheets or "Save the Date" blurbs for volunteer email updates for the coordinator to edit and approve.
