About The Position

In this role, the Volunteer and Events Coordinator is responsible for the management of SAHA’s Volunteer Program’s day-to-day operations, including recruitment, placement, training, and retention of volunteers for SAHA's programs and events. Additionally, the Volunteer and Events Coordinator (VEC) works closely with the Resident Services Supervisor in planning and executing events, special projects, and providing operational support to the department. The Resident Services department provides individualized services and community programs that build skills, create connections, and bring opportunities that address inequity to make a meaningful impact on the lives of SAHA’s residents and the surrounding community. An initiator and collaborator, the Volunteer and Events Coordinator builds and maintains ongoing positive and supportive working relationships with volunteers, colleagues, community organizations, and residents to fulfill SAHA’s mission. About SAHA: Satellite Affordable Housing Associates (SAHA) is a nonprofit housing development organization with over 50 years of experience throughout the Bay Area for low income families, seniors, and people with special needs including those experiencing homelessness. Requirements

  • Bachelor’s degree in Social Work, Psychology, Gerontology, or related field or equivalent experience preferred
  • 1-2 years related experience working with seniors or individuals with special needs preferred
  • Ability to maintain professional boundaries, including exercising objectivity and confidentiality, while building trusting relationships with residents and staff.
  • Must have excellent written and oral communication.
  • Excellent customer service, negotiation and communication skills.
  • Strong computer skills, including ability to easily navigate the internet, use Outlook, create Word and Excel documents, and work with a web-based database.
  • Familiar with community resources or have the ability to acquire community resources and become familiar with them.
  • Have sensitivity to the needs and concerns of residents and their families.
  • Experience and ability to work positively within a multi-cultural team environment.
  • Able to exercise good judgment and common sense, based on analysis, evaluation, and risk assessment in determining what to handle without help, and when to ask for guidance or help in prioritizing from supervisor.
  • Use creativity and have an ability to adjust to change.
  • Basic math abilities with the ability to manage a budget.
  • Be self-motivated, show initiative and have the ability to assess a situation and take action using a creative and resourceful approach.
  • Demonstrate persistence in achieving department goals and have a strong attention to detail.
  • Ability to prioritize tasks and move between priorities effectively.
  • Valid driver’s license and good driving record, along with proof of automobile insurance required.
  • A DMV check will be performed.
  • Simple grasping and fine manipulation, sitting at a desk while using a computer, and using a telephone for extended periods of time.
  • Intermittently twisting to reach objects near the desk, standing, walking, bending reaching, using a computer, and occasionally lifting or moving objects which may weigh up to 35 pounds.

Nice To Haves

  • The ability to speak other languages such as Cantonese, Mandarin, Farsi, Russian or Spanish is a plus.
  • Community networking skills, knowledge of civic engagement and intergenerational activities programming is a plus.
  • Familiar with using graphic design software and creating marketing materials.

Responsibilities

  • Leads volunteer outreach and community engagement efforts through advertising, participating community job or volunteering fairs, and proactive outreach and relationship-building with community groups and local schools.
  • Conducts interviews and places volunteers in programs by matching the volunteer’s skills and abilities with the program’s needs.
  • Orients volunteers to their activity and building as well as SAHA’s mission, goals, and Volunteer Program policies and procedures.
  • Monitors and maintains accurate tracking records for volunteers’ service hours and performance through SAHA's volunteer database.
  • Conducts surveys and feedback assessments to inform program improvements.
  • Implements recognition programs and events to acknowledge volunteers' contributions to enhance volunteer retention and satisfaction.
  • Shares program updates, upcoming opportunities, volunteers’ impact, and appreciation of volunteers’ contributions.
  • Assesses volunteers’ needs, addresses concerns and challenges, and provides ongoing support to ensure effective engagement.
  • Conducts ongoing quarterly training and skill-building opportunities for recurring volunteers.
  • Cultivates relationships with residents and community partners; collaborates with site staff and community leaders to assess needs and evaluate the feasibility and outcomes of programs and initiatives.
  • Monitors and works within established budget guidelines for all events and programs.
  • Reconciles all purchases against the established budget.
  • Communicates internal messages to SAHA staff and maintains frequent contact with site staff, community partners, and volunteers about program opportunities, effectiveness, quality improvement, and resident satisfaction.
  • Maintains the accuracy and integrity of departmental information by performing real-time updates to staff directories, organizational charts, and portfolio records.
  • Provides comprehensive logistical support for departmental and inter-departmental events, including securing venues, coordinating audiovisual and presentation needs, arranging catering, and facilitating setup and breakdown of event spaces to ensure efficient preparation and restoration.
  • Collaborates with service coordinators in coordinating designated one-time events and initiatives from start to finish.
  • Provides administrative support to implementation of departmental and inter-departmental training and development initiatives, including learning management system uploads, reports, and tracking.
  • Supports a range of departmental projects and initiatives by executing assigned tasks, adapting to changing priorities, and providing operational assistance to achieve goals and deadlines.
  • Other duties as assigned by supervisor and/or management.
