About The Position

The Volunteer Coordinator leads Primecare’s hospice volunteer services program, ensuring full compliance with CMS Hospice Conditions of Participation (CoPs) and Georgia Department of Community Health rules. The role covers recruitment, screening, onboarding, training, scheduling, supervision, documentation, quality reporting, and integration of volunteer services into each patient’s interdisciplinary plan of care (POC). The Coordinator also drives community outreach and attends IDG to review volunteer involvement, update care plans, and coordinate services as conditions change. Primecare Hospice is a patient-centered, physician-led, and team-based holistic hospice program dedicated to making every moment matter for patients and their families during their hospice journey. Services may be provided in a home, hospital, or nursing home setting.

Requirements

  • Proficient in EMR/timekeeping for volunteers; MS Office/Google Workspace; reporting and dashboarding.
  • Valid driver’s license, reliable transportation, and insurance (unless a documented, approved accommodation assigns non-driving duties only).
  • Excellent written and verbal communication skills.
  • Strong recruitment, public speaking, and community engagement skills.
  • Knowledge of HIPAA, privacy, and professional boundaries in patient/family settings.
  • Excellent project management and time management skills.
  • High School diploma or equivalent.
  • Minimum 1 year experience in healthcare, hospice, volunteer management, community organizing, or related field (hospice/volunteer program experience preferred).
  • Must have experience handling confidential information.
  • Working knowledge of CMS Hospice CoPs and GA DCH hospice rules; ability to translate regulation into daily workflows.

  • Prior experience designing or running training/education preferred.
  • Experience in screening, files, compliance preferred.

Responsibilities

  • Operate the volunteer program in full compliance with 42 CFR and applicable GA DCH rules and agency policies.
  • Maintain an active volunteer corps sufficient to meet or exceed the 5% volunteer service benchmark.
  • Build, implement, and maintain policies/procedures for volunteer recruitment, screening, onboarding, role descriptions, training/competency, supervision, documentation, retention, recognition, and separation.
  • Ensure all volunteer personnel files are complete and current.
  • Ensure volunteers are qualified and trained for their role (patient-facing vs non-patient), and supervised to the same standard of care as employees.
  • Plan and execute a minimum of two (2) community outreach/recruitment events per month.
  • Represent Primecare professionally at health fairs, lunch-and-learns, and partner events; coordinate materials and talking points aligned to brand standards and compliance.
  • Build and maintain pipelines of potential volunteers; manage interest through orientation to activation.
  • Manage screening and onboarding.
  • Deliver new-volunteer orientation.
  • Provide role-specific competencies and verify competency before first assignment.
  • Schedule and document annual training/competency refreshers.
  • Collaborate with IDG to define volunteer goals and interventions within the POC.
  • Review and update volunteer components of the POC.
  • Provide volunteers with case-specific briefings.
  • Ensure timely documentation of volunteer activity in the approved system; ensure notes align with the POC.
  • Conduct periodic supervisory visits/check-ins.
  • Implement recognition and retention strategies (thank-you events, service awards, development opportunities).
  • Track and report volunteer metrics.
  • Submit monthly statistics and a quarterly QAPI summary with trends, risks, corrective actions, and outcomes; contribute to annual evaluation of the volunteer program.
  • Maintain an auditable timekeeping system for volunteer hours and activities that supports cost reporting and CoP surveys.
  • Ensure volunteers understand incident reporting and mandatory reporting pathways.
  • Reinforce infection-prevention, emergency preparedness, and patient-home/environment safety.
