About The Position

The Smithsonian Institution's Office of Visitor Services (OVS) is seeking a Volunteer Coordinator (Leader) to assist the Deputy Director in planning and implementing volunteer management services and programs. This role involves leading the volunteer management team in overseeing daily operations of volunteer programs, serving as a resource for volunteers and supervisors, and managing the institutional volunteer database. The Smithsonian Institution is a vast museum and research complex dedicated to inspiring generations through knowledge and discovery.

Requirements

  • Bachelor’s degree (B.A.) from an accredited four-year college or university and/or 3-5 years of related experience, or an equivalent combination of education and experience.
  • Skill in identifying, analyzing, and developing courses of action and recommendations for resolving problems.
  • Skill in interpersonal skills and the ability to interact and motivate with a variety of people in structured and unstructured situations using a variety of techniques and approaches.
  • Skill in oral communication sufficient to present and coordinate with affected organizations, and implement new support program processes/procedures.
  • Skill in written communication sufficient for the development of presentations and reports to gather data, determine scope.
  • Ability to lead, motivate, and inspire in order to supervise the daily visitor services program operations as the lead coordinator.
  • Technical experience.
  • Must meet all qualification and eligibility requirements within 30 days of the closing date of this announcement.
  • Must pass a pre-employment background check and subsequent background investigation.
  • Must complete a probationary period.

Responsibilities

  • Oversee the daily operations of the Castle volunteer programs and central volunteer management services.
  • Provide leadership to the volunteer management team, ensuring alignment with goals set by the Director and/or Deputy Director.
  • Offer guidance and support to the team, monitor progress, mentor struggling members, and motivate team members.
  • Determine volunteer staffing needs for visitor-facing areas and develop annual volunteer retention and recruitment strategies.
  • Identify factors influencing volunteer recruitment and retention and report on findings.
  • Coordinate and evaluate activities related to volunteer matters, including new position descriptions, appraisals, and training.
  • Advise supervisors on procedural and policy issues related to volunteers.
  • Establish, collect, evaluate, and report on metrics such as volunteer placement, attrition, retention, satisfaction, and advancement.
  • Advance volunteer hiring by researching and recommending new recruitment sources and creative methods to attract talent.
  • Build networks with hiring managers, colleges, universities, and online platforms for recruitment.
  • Work with managers to identify attributes of retainable volunteers for future hiring.
  • Provide training and guidance to volunteers on achieving their service goals and enhancing their understanding of the Smithsonian.
  • Coordinate the effective use of the Smithsonian's pan-institutional volunteer management database, serving as a liaison for improvements.
  • Receive, triage, and resolve inquiries from OVS client stakeholders.
  • Orchestrate the Smithsonian's annual volunteer appreciation and acknowledgement efforts.
  • Perform studies, special projects, and other duties as assigned by the supervisor.
  • May be required to work one or more holidays a year.
