About The Position

The Volunteer Coordinator & Human Resources Assistant is responsible for coordinating and supporting the hospital's volunteer program while providing administrative assistance to the Human Resources department. This position recruits, screens, orients, schedules, and recognizes adult and student volunteers, serves as the liaison to the Hospital Auxiliary, and assists with a variety of HR functions including employee onboarding, personnel records management, recruitment support, and compliance activities. This role requires exceptional organizational skills, strong interpersonal communication, and a commitment to providing excellent service to volunteers, employees, patients, and the community while supporting the mission and values of Mountains Community Hospital.

Requirements

  • Associate's degree in Human Resources, Business Administration, Healthcare Administration, or related field preferred.
  • Equivalent combination of education and experience may be considered.
  • Two (2) years of experience in volunteer management, human resources, healthcare administration, or related administrative support preferred.
  • Experience working with volunteers or nonprofit organizations is desirable.
  • Healthcare experience is preferred.
  • Excellent organizational and time management skills.
  • Strong interpersonal and customer service skills.
  • Ability to communicate professionally with individuals of diverse backgrounds and ages.
  • Ability to maintain confidentiality and exercise discretion with sensitive information.
  • Strong attention to detail and accuracy.
  • Ability to prioritize multiple projects in a fast-paced environment.
  • Proficiency in Microsoft Office Suite and HR information systems.
  • Ability to work independently while maintaining effective collaboration with multiple departments.
  • Strong problem-solving and conflict-resolution skills.

Responsibilities

  • Recruit, interview, onboard, and orient adult and student volunteers.
  • Coordinate volunteer placements based on departmental needs, volunteer interests, and qualifications.
  • Develop and maintain volunteer schedules to ensure adequate departmental coverage.
  • Maintain volunteer personnel files, service records, background checks, immunization records, and required documentation.
  • Ensure volunteers complete all required training, confidentiality agreements, and annual compliance requirements.
  • Serve as the primary point of contact for all volunteer-related questions and concerns.
  • Coordinate volunteer recognition events, appreciation activities, and awards.
  • Monitor volunteer performance and address issues in collaboration with department managers.
  • Maintain accurate volunteer statistics and prepare reports as requested.
  • Promote volunteer opportunities through community outreach, schools, and local organizations.
  • Coordinate seasonal student volunteer programs.
  • Collaborate with local high schools, colleges, and educational institutions regarding volunteer opportunities.
  • Process student applications and required documentation.
  • Schedule orientations and assign students to appropriate departments.
  • Ensure compliance with hospital policies and supervision requirements for student volunteers.
  • Track volunteer hours for school or scholarship requirements.
  • Serve as the staff liaison to the Hospital Auxiliary.
  • Coordinate communication between hospital leadership and Auxiliary members.
  • Assist with planning Auxiliary meetings, fundraising events, volunteer activities, and community outreach.
  • Support Auxiliary membership recruitment and retention efforts.
  • Assist with coordination of Auxiliary-sponsored projects and hospital initiatives.
  • Maintain records related to Auxiliary activities and volunteer participation.
  • Assist with employee recruitment activities including posting positions, scheduling interviews, and applicant communications.
  • Coordinate new employee onboarding and orientation activities.
  • Maintain confidential employee personnel files and HR records.
  • Assist with employee credentialing, compliance tracking, and required training documentation.
  • Prepare employment-related correspondence and HR reports.
  • Support employee engagement and recognition programs.
  • Assist with benefits enrollment and HR administrative processes.
  • Maintain HR databases and ensure data accuracy.
  • Respond to routine employee inquiries regarding HR policies and procedures.
  • Provide administrative support for HR projects and departmental initiatives.
